Job Summary:

The Department of Biomedical Engineering (BME) is growing! We are looking for a for a Research Administrator, interested in making a difference in healthcare, to manage the department's research portfolio. BME educates engineers to lead the biotechnology revolution of the 21st century. Our Biomedical engineers are progressing science and technology to solve the most fundamental problems in medicine. This position plays a critical role in the whole life cycle of grants management including all activities associated with pre-award and post award. Responsibilities include working with principal investigators and research staff to develop nontechnical proposal documents, ensuring compliance with sponsor, state and university requirements particularly in regard to budget development and accuracy, facilitating the proposal review, routing to award staff to ensure efficient, compliant management of awards, and verifying and certifying efforts according to funders and UW-Madison policies. Our BME administrative team works closely together to make an impact in our growing department.


Responsibilities:
Manages research administration activities from proposal preparation through closeout on behalf of a unit. Reviews and approves proposal submissions, contract negotiations, project setups, compliance, and/or financial reporting. Develops and oversees implementation of operations and strategic planning to ensure compliance with regulatory requirements within a school/college/division/unit. May manage a programmatic unit and/or personnel.

  • 15% Executes research administration operational policies and procedures including financial, administrative, staffing, and compliance on behalf of a unit
  • 30% Reviews and approves programmatic transactions spanning the life-cycle of sponsored projects to ensure compliance with institutional and/or sponsor policies and procedures
  • 10% Serves as a key resource to leadership and staff in the unit as well as a liaison to partners and stakeholders
  • 25% Executes activities related to proposal submission, contract negotiation, and/or award setup on behalf of a unit
  • 10% Executes activities related to financial compliance, audit, or reporting on behalf of a unit
  • 5% Provides training to faculty, staff, and/or administrators within the unit regarding policy, procedure, and/or execution of sponsored project administration
  • 5% Supports departmental administrative activities

Qualifications:

Required qualifications:
1 year experience either in grant management/research administration or clinical research management.
Experience in cloud-based systems in research administration or finance or other operational platforms.
Experience with advanced Excel functions (Pivot tables, VLookup etc.).
Demonstrated track record of organizational skills, attention to details and meeting deadlines.

Preferred qualifications:
Experience with federal (e.g. NIH, NSF, DOD), state, foundation or industry funding mechanisms.
Received Certified Research Administrator certificate or completed Level 1 NCURA training.
Experience in a higher education setting.

Full Time: 100%

This position may be eligible for partial remote work following training/probationary period. This may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
