The USC Dana and David Dornsife College of Letters, Arts and Sciences is seeking a Shadowing Program Coordinator in the Department of Pre-Health Advising. The largest and oldest of the USC schools, USC Dornsife functions as the academic core of the university, offering courses and advancing knowledge across the humanities, social sciences and natural sciences.

The Department of Pre-Health Advising has partnered with Keck School of Medicine (KSOM) of USC, the Keck Medical Center, and other affiliated clinical partners to create theUSC Dornsife/Keck Student Shadowing Program. This unique experiential learning program provides current USC students and recent alumni the opportunity to gauge and affirm their interest in medicine and health as a career through physician shadowing, mentorship, and individual reflection.

The Shadowing Program Coordinator role will manage student communications, assist with the coordination of shadowing experiences, and handle administrative tasks to ensure smooth program operation. They will work closely with both the Dornsife Pre-Health Advisement team and Keck Medical Center partners to facilitate clinical shadowing, research and other related opportunities for pre-health students and recent alumni.

Responsibilities:

Under the supervision of the Executive Director and Associate Director of the Dornsife Office of Pre-Health Advisement, the Shadowing Program Coordinator will:

  • Manage the shadowing program's daily communications, including responding to student and faculty inquiries and coordinating with program personnel.
  • Assist with the application, selection, and onboarding processes for student shadowing participants, including eligibility verification and orientation planning.
  • Track student participation and compliance with program requirements using Google Docs and Sheets.
  • Support the coordination of physician matching, liaising with the Keck School of Medicine's Academic Affairs office.
  • Help prepare and organize documents such as Educational Agreements, program evaluations, and compliance forms.
  • Maintain and update the program's website, application forms, and relevant informational materials.
  • Assist in planning and hosting didactic experiences, reflection roundtables, and other program-related events.
  • Handle additional administrative tasks and special projects as assigned.

Preferred Qualifications:

  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Forms).
  • Strong organizational skills, attention to detail, and ability to handle multiple tasks independently.
  • Demonstrated experience in project management and familiarity with office communication tools (e.g., Google suite, Slack, Zoom) and social media management.
  • Experience managing multi-platform communications and marketing plans involving publications, videos, websites, social media, and public presentations.
  • Familiarity with the local community and a strong interest in supporting academic and clinical programs.
  • Specialized knowledge in:
    • Healthcare facility operations and policies (e.g., HIPAA, clearance processes).
    • Understanding of equity considerations for the application process and clinical placements due to high demand.
    • Familiarity with the USC network of clinical facilities, including healthcare partners, research institutions, and educational organizations.

Salary range:The hourly rate range for this position is $23.74 - $27.27. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
