Essential Job Duties |
The
LGBTQ Pride Center Administrative Assistant reports directly to the Pride Center Director. The Administrative Assistant position provides support for the administrative and logistical needs of the Pride Center.
Duties include:
- Assisting with the planning. coordination, and budget management of program activities and events
- Assisting with the scheduling, supervision, and payroll approval of student workers
- Processing vouchers/vendor payments and purchase card (P-Card) transactions
- Weekly tracking of Center expenses
- Managing multiple fund accounts and assisting with other office projects as assigned and as they relate to the work of the Center.
- Monitor, track, and report Center expenses and revenues
- Reconcile P-Card expenditure and assist staff with the monthly P-Card process
- Process travel authorizations/reimbursement for approval/payment

Other Responsibilities |
- Assist Center Director with annual budget forecasting
- Support and assist Pride Center staff in coordinating a variety of student programs and activities
- Managing office technology including maintaining an equipment update and rotation schedule
- Managing, maintaining, and requesting Center access for Pride Center staff, graduate assistants/interns and student leaders;
- Greeting visitors and handling the administration of necessary items such as processing mail, maintaining office supply inventory and coordinating and scheduling meeting rooms;

Qualifications
Minimum Experience/Education |
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. |
Other Required Qualifications |
- Strong computer skills: MS Office Word, MS Office Excel, Internet and Google suite
- Have familiarity and work experience utilizing PeopleSoft Financials (or similar software) to process vouchers/vendor payments, handle P-Card processing and MarketPlace orders
- Ability to multi-task work projects
- Attention to detail and the ability to prioritize work to meet deadlines
- Must have excellent communication skills (oral and written)
