The American Chemical Society (ACS) is the world's largest scientific membership association and one of the top ten peer-reviewed science publishers in the world. The Publications Division of ACS has all of the characteristics of a medium-sized commercial STM publishing company: its primary competitors for authors, market-share, and talent are Elsevier, Wiley, and Springer/Nature. It is one of two ACS divisions charged with serving a dual function: generating substantial revenue - currently over $200M - to support the Society's programmatic activities and fulfilling a core mission of the Society by advancing knowledge in the field of chemistry and the chemical enterprise.

We are seeking a motivated and detail oriented administrative assistant to join our team.

This position will reside within the Product vertical and will report to the Senior Director, Product Strategy & Operations.

Primary Responsibilities:

Duties may include all or part of the following:



  1. Provides administrative support to ensure efficient operation of the team
  2. Supports communication efforts through management of reports, websites, and dashboards, and sends communications to other teams/departments on behalf of the Product team.
  3. Supports invoice processing, creation of vouchers, and submission of requisitions
  4. Assists with finance and budgeting activities.
  5. Assists with scheduling meetings and reserving conference rooms
  6. Responsible for editing existing and creating new process documents
  7. Supports the preparation of meeting materials
  8. Enters requests in support of on-boarding and separation processes
  9. Coordinates and enters catering requests and break area resupply orders
  10. Assists with planning and setup of group events, including travel arrangements
  11. Completes other duties as assigned


Education/Experience:



  • High school diploma or equivalent education required
  • 7 years of administrative assistant experience preferred


Required Qualifications:



  • High attention to detail and ability to balance multiple priorities
  • Strong time management skills, self-motivated, requiring little oversight
  • Strong organizational skills
  • Excellent oral and written communication skills
  • Knowledge of appropriate software including Microsoft Word, Excel, Outlook, PowerPoint and Adobe Acrobat
  • Ability to maintain confidentiality and work with sensitive records and information


DC-based: This role is based in our Washington, D.C. office. A reasonable rate of compensation for this position is between $49,000 & $67,000 per year.
