Senior Executive Assistant
The Senior Executive Assistant to the Chief Executive Officer (CEO) and other Chief-level Executives serves as a strategic partner, providing executive support to ensure seamlessness at the highest levels of leadership. This role requires a seasoned professional with exceptional organizational skills, impeccable judgment, and the ability to anticipate and address the needs of the executives. As an extension of the CEO and others, this role plays an integral part of the Senior Executive Team (SET). Compensation: $90,000-120,000 Key Responsibilities: Executive Support
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and other Chief-level staff supported.
- Manage a complex and dynamic calendar, ensuring alignment with strategic priorities and business goals.
- Coordinate and facilitate high-level meetings, including preparation of agendas, materials, and follow-up documentation.
- Act as a trusted liaison between with the senior leadership team, always maintaining confidentiality and discretion.
Communication Management
- Draft, review, and edit correspondence, presentations, and reports on behalf of the executives.
- Represent the CEO and key executives in interactions with key stakeholders, demonstrating impeccable professionalism and diplomacy.
- Proactively manage and triage incoming communications, ensuring timely and appropriate responses.
Strategic Partnership
- Anticipate the needs of the executive(s) and provide proactive solutions to enhance efficiency and effectiveness.
- Partner with executives to manage and prioritize their workload, projects, and commitments.
Event and Travel Coordination
- Owns end-to-end large meeting and event coordination including venue selection, catering, and audio-visual equipment.
- Plan and execute complex domestic travel arrangements, ensuring seamless logistics and adherence to preferences; including management of large group travel experiences.
- Organize executive-level events, including board meetings, leadership meetings and industry-related events
Administrative Support Excellence
- Oversee and improve administrative systems and processes to enhance productivity and organization; including front desk operations and Administrative Coordinator/Receptionist position.
- Manage special projects and initiatives as directed by the CEO and/or members of the SET.
- Exercise a high degree of independence, initiative, and judgment in resolving complex problems.
Qualifications:
- Experience: Minimum of 10+ years of executive-level administrative support experience, with at least 5 years supporting C-suite executives.
- Skills: Superior written and verbal communication skills, exceptional organizational and time management abilities, and a high degree of attention to detail.
- Judgment: Proven track record of maintaining confidentiality and handling sensitive information with integrity.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite and other productivity tools; familiarity with CRM and project management software is a plus.
- Professionalism: Demonstrated ability to represent senior executives with polish, confidence, and discretion.
- Adaptability: Comfortable operating in a fast-paced, high-pressure environment with changing priorities.
