As a Facilities Coordinator, you'll be at the heart of our operations, supporting the Facilities Manager and ensuring our campus remains a clean, safe, and welcoming place for employees and visitors. This role combines hands-on tasks, administrative duties, and opportunities to collaborate with internal teams and external vendors.

What you'll do:


  • Conduct bi-monthly walkthroughs of all facilities, both inside and outside, to identify issues and notify the Facilities Manager and Building Team.
  • Oversee warehouse organization, cleanliness, and inventory status, ensuring all supplies are properly stocked.
  • Receive, stock, and monitor office supplies and janitorial supplies, tracking needs and obtaining approval for orders.
  • Perform quarterly inventory audits and maintain updated Excel records for reporting.
  • Regularly visit the AE cafeteria to assess quality and service, creating reports for the Facilities Manager.
  • Maintain updated certification records for the safety team.
  • Record and update monthly security incident reports by building and campus using Excel.
  • Input data related to training, equipment, and incidents; provide regular reports to the Facilities Manager.
  • Monitor and document employee suggestions, maintaining a spreadsheet for weekly review.
  • Provide additional support for onsite events as needed, working closely with the Hospitality Team.
  • Assist the Facilities Manager with daily responsibilities and special projects as assigned.


Experience you'll bring:


  • Communicates effectively and is recognized for being approachable and supportive within the team.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities effectively.
  • Basic proficiency in Excel for reporting and data tracking.
  • Demonstrates discretion and professionalism in handling sensitive and confidential information.
  • Exhibits resourcefulness and takes ownership in identifying and addressing challenges.
  • Ability to work independently and as part of a team.
  • Flexibility and adaptability to support changing needs and tasks.


Bonus Points:


  • Previous experience in a facilities or operations role.
  • Familiarity with safety protocols and compliance.
