Overview

The Department Administrator II provides overall administrative leadership and operational support for the Department of Otolaryngology at Macon & Joan Brock Virginia Health Sciences, EVMS at Old Dominion University. This position is responsible for the day-to-day operations of the department, including financial management, clinical operations, and academic support. The ideal candidate will be a highly organized and motivated individual with strong leadership, communication, and problem-solving skills.



Responsibilities

MANAGEMENT AND SUPERVISORY RESPONSIBILITIES:

    • Provide direct supervision over the Department Office Manager and Administrative Support Coordinator.
    • Provide indirect supervision over various nursing and clinical staff.
    • Monitor daily operations of all facilities to ensure a positive work environment and optimal patient care.
    • Provide support and assistance to the Chairman.
    • Maintain effective departmental leadership with efficient utilization of time and resources.
    • Develop a 3-year operations plan, including annual goals and expectations for staff.
    • Develop and monitor standards for departmental operations and care delivery.

CONTACTS:

    • Interact with students, vendors, faculty, staff, administrators, and the public.

BUDGETARY RESPONSIBILITY:

    • Share responsibility with the Chairman in developing budget recommendations, monitoring expenses, and approving budget.
    • Review and analyze financials to maintain a positive budget and financially strong department.
    • Plan and develop the departmental budget.
    • Develop strategic and tactical plans.

EDUCATION RESPONSIBILITY:

    • Provide support to the Academic Manager and Program Director when needed.

RESEARCH RESPONSIBILITY:

    • N/A

CLINICAL RESPONSIBILITY:

    • Provide oversight for clinical operations by monitoring care delivery systems.
    • Develop and implement policies and procedures to ensure patient-centered care and maintain the highest standards of care possible.
    • Monitor compliance with government policies.
    • Provide guidance and assistance to faculty and service providers to maintain a strong, patient-centered environment.

Perform other required duties as assigned.



Qualifications

Master's degree in Healthcare Administration or a related field preferred.

8 years in healthcare administration, preferably in an academic medical center setting.

Proven experience in budget management, financial analysis, and personnel management.

Strong leadership, communication, and interpersonal skills.

Excellent organizational and time-management skills with the ability to prioritize and meet deadlines.

Proficiency in Microsoft Office Suite and other relevant software applications.
Knowledge of healthcare regulations and compliance requirements.
