How you will contribute:
The Assistant Labor Coordinator is responsible for a variety of administrative duties including scheduling and onboarding fire protection field personnel who travel to jobs throughout the United States, managing employee records, coordinating pre-employment, on-the-job safety requirements, tracking terminations, and administering union wage rates.
- Liaison for traveling fire protection field employees to answer questions, ship/mail equipment, material and/or other necessary items as requested, and fulfill manpower requests by working with the Superintendent to match appropriate skills needed for each project
- Supports the drug testing process for union employees
- Accuracy in entry and maintenance of time entry by field foremen
- Initiating required onboarding and offboarding paperwork, and confirming all information is completed in a timely manner
- Responsible for providing all safety equipment necessary for new hires
- Entry and maintenance of employee multi-state licensing requirements, tracking of expirations and renewals, continuing education requirements, ensuring all fitter safety certifications/requirements are current (including contractor requirements), and tracking field tool inventory lists
- Point person for both 669 Roadfitter and multiple city local unions to contact regarding items related to their members
- Manage and maintain multiple spreadsheets to track the various requirements for field labor to work in multiple states
- Process and prepare professional, error-free paperwork and correspondence including daily, weekly and/or monthly field labor reports
- Plans and organizes annual foreman meeting, including scheduling presenters, travel logistics, technology requirements, and agenda, in collaboration with the Superintendent
- Manages, orders, and calls off rent of all equipment for National projects, as well as approving invoices and handling invoicing disputes
- Assists in project meetings and takes minutes for field turnover meetings as needed
- Provide exceptional customer service to field employees who work fully remote, as well as office employees and managers in need of Labor Coordination information or assistance
- Liaison for Safety, Payroll, Human Resources, and Purchasing for questions relating to FP field employees
- Performs other related duties as requested or assigned
What you need to qualify:
Ahern will make the most of your Associate/Bachelor's Degree or combination of education and experience. You can stand out above other candidates by having prior Labor Coordination experience including labor/union agreements in the construction industry. Candidates must have excellent communication, a collaborative mindset, a high level of detail orientation and organizational skills, and the ability to thrive in a fast-paced work environment with multiple projects going on simultaneously.
