Position Purpose
The Sponsored Research Manager ( SRM) serves as the central financial administration liaison between external sponsors, principal investigators, department grant administrators, and other campus stakeholders. SRM manages all phases of sponsored projects post award financial activities, including account reconciliation in collaboration with department grant administrators for the Office of Sponsored Projects ( OSP).

Required Qualifications - Skills, Knowledge and Abilities

  • Two years of relevant experience in an accounting, finance, business, or administrative field.
  • Proficiency in Microsoft Word, Excel, Adobe and aptitude for learning new systems.
  • Excellent mathematical, verbal, written, and interpersonal communication skills.
  • Demonstrated confidence, sophistication, and tact to work well with others.
  • Ability to research, interpret, and apply a wide range of policies, regulations, and procedures.
  • Excellent organization, time management, and problem-solving skills.
  • Ability to work independently, as well as adapt structures to changing funding environments.
  • Commitment to diversity and to serving the needs of a diverse community.

Preferred Qualifications
  • Bachelor's degree in Accounting, Finance, or Business Management highly preferred.

Key Accountabilities


Description
Post Award Management -

  • Manages a portfolio of 150 - 200 sponsored project accounts, serving as the central administration liaison between the principal investigators, department grant administrators and funding agencies on all sponsored project questions, and reviews, approves, and submits all post-award prior approval requests to sponsors.
  • Interprets award documents and consults with Cost Analysis and Pre-Award when needed to ensure proper account set up and compliance with federal and/or state regulations, sponsor specific requirements and institutional policies and procedures. Uses OSP systems to create award accounts and records, enters budgets and processes requested updates from department grant administrators and sponsors.
  • Provides assistance and problem-solving guidance to principal investigators and departmental grant administrators in resolving sponsored project expenditure, reporting, and policy compliance related issues.
  • Partners with department grant administrators who monitor and reconcile all sponsored projects expenditures to ensure costs are allowable, allocable, and reasonable, assists with addressing budgetary related issues, and confirms sponsor allowed indirects are applied appropriately.
  • Reviews and approves all cost transfer, wage transfer cost reallocation requests and other items requiring OSP approval for appropriateness, completeness, timeliness, and compliance with sponsor and Dartmouth College policies.
  • Prepares periodic reports of sponsored project activities (accounts ending, underspent/overspent accounts) to department grant administrators.
  • Works with department grant administrators to ensure timely closeout of sponsored project awards by sponsor and Dartmouth College deadlines.
  • Submits all financial, invention, property, compliance (IRB or IACUC), and other non-scientific/programmatic required reports to sponsors.
  • Collaborates with the Cost Analysis team to ensure timely closeout and invoicing, assists in escalating delinquent payments and resolving any payment disputes.

Description
Subaward Management -

  • Performs risk assessment on new subrecipient institutions, reviews compliance documentation using systems such as SAM.gov or FDP Expanded Clearinghouse.
  • Provides guidance and establishes procedures for managing subawards.
  • Sets up new subaward agreements and modifies existing subaward agreements.
  • Supports department grant administrators as needed in acquiring outstanding final subaward invoices and confirming timely processing with Cost Analysis.

  • Assists in creating and teaching periodic training sessions on sponsored project management practices and policy issues.
  • Provides one on one post award administration and OSP systems training for new department grant administrators.
