Provides workflow support for the recruitment program including, but not limited to: * Oversite of the shared recruitment email inbox. Triages inquiries from internal and external customers. Identifies escalation paths within HR to respond to complex matters and transitions the customer inquiry to the HR subject matter expert in a seamless fashion, providing clear documentation of the situation, steps taken to assist the customer, barriers identified, etc. * Serves as a resourceful partner to internal/external customers, researching issues, providing instruction, completing requests, answering questions. * Facilitates relocation program, as applicable. * Assists with travel arrangements, including staff and candidates, as applicable. * Coordinates community tour program, as applicable. * Processes invoices for payment. * Runs ad hoc reports, as requested. * Tracks data as applicable. * Facilitates payment processes for hiring incentives, as applicable. * Facilitates pay per income guarantee in alignment with community recruitment terms and conditions, as applicable. 2. Immigration, as applicable * Works closely with Manager and Recruiter regarding candidates who require sponsorship. * Partners with external Immigration Attorney to ensure compliance with immigration matters. * Partners with State of Oregon J-1 Waiver Coordinator, when applicable. * Continuously monitors status of candidate and employed staff with immigration steps and timing for renewals. * Monitors compliance for all employed persons under sponsorship and initiates related activity when applicable and per immigration rule and regulation. * Communicates directly with employed persons regarding their immigration status and supports them in obtaining or transitioning from J1-Waiver to H1-B to permanent status, when applicable. * In partnership with the manager, investigates immigration issues and follows up to ensure all legal and compliance issues are addressed. * Posts applicable flyers in designated work areas, when necessary.* Produces ad hoc reports related to employed persons under sponsorship, when requested. 3. Tracks all pre-employment requirements. * Ensures successful completion of pre-hire health assessment/drug screen. * Ensures completion of the Form I-9. * Ensures applicable immigration documentation is complete, as applicable. * Validates pre-employment criteria, ensuring electronic retention of regulatory documentation, including but not limited to: * Primary source license/certification verification. * Primary source education verification. * Criminal Background check - ensures thorough completion, legal compliance and adherence to organizational standards, and per alignment with the applicable job description. * Motor Vehicle Records - ensures completion, legal compliance and adherence to organizational standards, and per alignment with the applicable job description. 4. Reviews candidate/requisition files to ensure accuracy in pre-hire processes including, but not limited to: * Minor authorization guardian approval, as applicable. * Position and supervisor code, in alignment with requisition. * Pay range in alignment with position code. * FTE in alignment with requisition. Partners with key stakeholders to close gaps identified through review process. 5. Upon review of candidate/requisition files and validation that required pre-employment criteria is met, processes hire actions for internal and external hires. Following a diligent pre-boarding checklist, ensures hire action workflows and outcomes meet established standards for compliance and organizational excellence.6. Communicates with and provides instruction to candidates, recruiters, and hiring leaders throughout the pre-boarding process. 7. Partners with multidisciplinary teams, including recruiters, HR teams outside of recruitment, Hiring Leaders, etc. to problem solve workflow gaps pertaining to pre-hire quality standards in ways including, yet not limited to: * Conducting audits and keeping reports/records to track issues. * Analyzing and noting trends in deficiencies of service or performance. * Evaluating, testing, and validating recruitment processes. * Identifying and developing solutions for processes that require modification or improvement. * Actively participating in and contributing to process improvement strategies and projects. 8. May serve as system administrator, point of contact, and technical expert for key recruitment systems, including but not limited to: Infor (applicant tracking system), ClickUp (hire tracker/dashboard), Corporate Screening (background check). * Problem solves systems issues, participates in systems implementations and upgrades, and partners with stakeholders in implementing workflow changes within systems. Special knowledge, skills, & abilities * Ability to analyze current methods and processes and identify opportunities for improvement. * Ability to work independently in a fast-paced environment with high sense of urgency, professionalism and excellent customer service. * Proficient in MS Office suite. * Strong analytical and critical thinking skills, adept problem solver. * Significant ability to keep track of details on multiple areas of responsibility. * Strong attention to detail and excellent organizational skills. * Maintains strong commitment to confidentiality in all areas of work and communication. * Working knowledge of state and federal employment laws.
