Position Summary: We have an exciting opportunity to join our team as a Program Manager - Education. The Program Manager is responsible for providing leadership and overall administrative direction for the educational affairs of the Department of Dermatology for both Graduate and Undergraduate Medical Education and reports to the Departmental Administrator. In conjunction with the Departmental Administrator, Chairman, and Vice Chair of Education, develops and implements strategic goals related to management of the education mission for Dermatology. The Program Manager supports the departmental leadership on special projects and initiatives by providing expert guidance, editorial input, data and reports, presentation materials, and other input as needed.
The Program Manager is responsible for higher level oversight of the day-to-day activities Department of Dermatology Education Mission; works to interpret and assure compliance with regulatory and accreditation standards, and hospital policies, procedures and standards, governing active programs. Integrates processes, policies, actions and plans into the strategic initiatives and goals for the Department. Supervises a team of residency, fellowship, and clerkship coordinators. The Program Manager collaborates with stakeholders within and outside the department to develop and maintain effective relationships and ensure program compliance. Serves as a key member of the department management team.
Job Responsibilities: Administration:
- In collaboration with the Departmental Administrator and central administration teams
- Manage education division budgets
- Support the development, tracking, and achievement of annual staff performance goal
- Manage all staff recruitment, hiring, changes of responsibilities, and termination for the Education Division
- Ensure all staff adhere to compliance and regulatory requirements at NYU Langone Health
- Ensure successful implementation of cross-mission projects and programs, including Snapshot process
- Regularly communicate with key achievements and milestone accomplishments of faculty, trainees, staff, and programs within the education Division
Education Program Development: This individual will work directly with the Vice Chair of Education and Program Directors to:
- Oversees all aspects of the accredited and non-accredited training programs for the Department of Dermatology in conjunction with the designated Program Directors:
- Dermatology Residency (ACGME)
- Pediatric Dermatology Fellowship (ACGME)
- Dermatopathology Fellowship (ACGME)
- Micrographic Surgery and Dermatologic Oncology Fellowship (ACGME)
- Advanced Medical Dermatology Fellowship (NST Program)
- Oversees all aspects of the Dermatology Clerkship Programs in conjunction with the Course Directors:
- NYUGSoM Student Observers
- Advanced Dermatology Clerkship
- Selective Dermatology Clerkship
- Visiting Student Program
- Oversee International Observership Program
- Oversee implementation of CME activities for Dermatology Department.
- Develops and implements strategic goals related to management of the education mission for Dermatology including program development related to ACGME requirements.
- Provides expert guidance, editorial input, data and reports, presentation materials, and other input as needed to Departmental Leadership.
- Demonstrates knowledge of the organizations Service Standards and incorporates them into the performance of duties.
- Analyzes and presents program data for continuous quality improvement of education programs
- Implements quarterly education meetings with Vice Chair of Education and all program directors.
- Develops and implements a wellness curriculum to enhance resiliency among dermatology trainees and students.
- Develops and implements a faculty development curriculum along with the Vice Chair for Education.
- Develops and implements a faculty mentoring curriculum along with the Vice Chair for Education and the Director for Mentorship.
- Provides support to special projects and initiatives of Departmental Leadership and Program Directors.
- Guides department education activities and ensures departments response to the needs of the training programs and the overall mission of the educational requirements of the institution and department by establishing goals/objectives and service standards.
- Participates in the development of long and short term departmental education goals
- Participates in the ongoing systematic needs assessments and evaluation methodologies of each training program in order to comply with ACGME, NST, and LCME guidelines.
- Ensures compliance with Joint Commission, ACGME, LCME, Department of Health, hospital policies and procedures, and other laws and regulatory standards pertinent to medical education and student affairs.
- Provides administrative oversight for the Programmatic Program Evaluation Committees including planning agendas, assuring participation at meetings, follow-up, and reports.
- Oversees management of ACGME WebADS pertaining to all program changes and updates. Reviews the annual ACGME ADS program updated prior to submission.
- Oversees management of the ACGME annual program evaluation process for each accredited training program. Reviews the drafted documents prior to submission.
- Drafts and develops program proposals, new/renewal applications for accreditation with Program Directors for submission to the NYU GME Office, NYU UME Office and ACGME.
- Oversees and participates in all ACGME related Site-Visits, including new accreditation, re-accreditation, and the 10-year program self-study. Oversees the submission of all follow-up/progress reports from programs, and reviews for completion.
- Oversees annual policy review and updates for all GME and UME policies.
- Oversees the annual recruitment and match process for all dermatology training programs.
- Together with the Departmental Administrator, manages the annual Dermatology GME operating budget.
- Oversees completion of all required external and internal GME surveys, including Duty Hour surveys, ACGME annual reports, etc. and reviewing results with the Program Directors.
- Performs other duties as assigned.
Staff Supervision and Administration: The Program Manager for Education directly supervises members of the departments education administrative team of 2-3 coordinators who support the day-to-day execution of the GME, UME, and CME programs.
- Directs and coordinates a team of residency, fellowship, and clerkship coordinators to perform assigned tasks and projects. Act as a role model for administrative team members.
- When necessary, oversees the recruitment, interview, and onboarding process to replace direct reports.
- Conducts annual performance reviews in accordance with Human Resources and department guidelines and procedures and provide performance feedback continuously throughout the year to ensure employees are performing as expected or better. Raises performance concerns with employees in a timely manner, focusing on how performance can be improved and providing a timeline for correction. Appropriately implements performance improvement plans and disciplinary processes in accordance with School of Medicine guidelines and in consultation with leadership and Employee and Labor Relations.
- Provides growth opportunities as appropriate for the Residency, Fellowship and Program Coordinators and encourage them to participate in professional development courses and programs as appropriate.
- Manages staff attendance, sick time, FMLA, and vacation time based on institutional, state and city policies.
- Adheres to medical center policies and procedures as seen in the staff handbook.
- Promotes diversity, inclusion, and mentorship as core institutional values.
Minimum Qualifications: To qualify you must have a Master's degree with 3-5 years experience in medical education (preferred), or bachelor's degree with 6+ years applicable experience. Qualified candidates must be able to effectively communicate with all levels of the organization.
