About the Department |
The NC State Office of General Counsel provides, manages and coordinates all legal services for the university in a collegial, responsive and professional manner. The office provides legal and risk management advice on a wide variety of matters to the Board of Trustees, the Chancellor, senior officers, other university administrators, and faculty and staff who are acting on behalf of the university. These matters include, but are not limited to, employment, student affairs, athletics, public records, real property, sponsored programs, intellectual property, purchasing and civil rights. The office represents the university in administrative proceedings before federal and state agencies and coordinates all litigation matters. |
Essential Job Duties |
This position serves as the Legal Assistant for the Office of General Counsel. The Legal Assistant provides support to the Office of General Counsel and will perform a combination of paralegal responsibilities as well as general administrative support for the office.
Duties include but are not limited to:
- Independently administering and managing comprehensive administrative responsibilities.
- Serving as the first point of contact with visitors and callers, resolving routine and complex inquiries. Contact with internal and external clients, government officials, UNC University System executives, and NCSU administrators is a primary component of the daily tasks.
- Managing calendars, scheduling meetings, handling logistics for workshops, coordinate travel arrangements, composing letters, proof reading and editing correspondence and maintaining the office supply and equipment inventory.
- Providing support for litigation efforts and activities of university attorneys.
- Proofreading, drafting, and finalizing correspondence, legal documents, and reports.
- Assisting in responding to subpoenas and public records requests.
- Researching legal issues; and performing computer assisted legal research.
- Assisting in-house counsel with compilation of materials and response to administrative complaints filed with government agencies (e.g., EEOC, OCR, OAH-CRD, DOL).
- Assisting with data collection and analysis of information for annual reports, event planning and day-to-day administrative activities.
- Detailed review of records based on the records and retention schedule.
- This position must deal with sensitive and confidential issues with professional integrity and judgment.
- Perform additional duties as assigned.

Qualifications
Minimum Experience/Education |
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. |
Other Required Qualifications |
- Strong verbal and written skills.
- Detail oriented and organized.
- Experience with Microsoft Office programs and Google Suite (or similar software).
- Ability to work with spreadsheets and databases to record data used to compile reports.
- Outstanding interpersonal and customer service skills.
- Must be reliable, dependable, and able to work independently.
- Ability to respect and maintain confidentiality and exercise professionalism and discretion when dealing with internal and external constituents.
- Must have the ability to learn new software applications with minimal hands-on instruction and self-train through exploration of an applications features and independent on-the-job training using manuals and on-line general guidance.
- Must be able to exercise good judgment and demonstrate initiative and drive for excellence in customer service and product delivery.

Preferred Qualifications |
- Knowledge of practices, protocols, and terminology unique to the legal profession.
- Knowledge of higher education environments and understanding of the University system.
- Familiarity of Business Operations at NCSU including use of Clio, MyPack Portal System, PeopleSoft, Marketplace, or other similar systems.
- Experience in event planning and logistics involving on/off-site meetings.
