POSITION OVERVIEW: This role is pivotal in ensuring seamless communication and efficient operations within the Maintenance and Housekeeping departments at Trail's End. The Maintenance Dispatch acts as the main point of contact for in-house teams and vendors, supports administrative functions, and collaborates with the Homeowner Relations Manager to maintain operational accuracy and efficiency.

RESPONSIBILITIES:

Guest and Team Communication

  • Answer and dispatch guest requests to Maintenance and Housekeeping teams.
  • Follow up with guests to ensure requests are resolved to satisfaction.
  • Serve as a liaison between teams, vendors, and guests.


Administrative Support

  • Assist the Homeowner Relations Manager with MaintainX system updates and usage.
  • Run and distribute reports as needed for department efficiency and accountability.
  • Track billable hours daily/weekly and ensure accurate record-keeping.


Vendor Management

  • Meet with vendors to coordinate services or address issues.
  • Verify vendor billing accuracy prior to approval and posting by the Homeowner Relations Manager.


Team Development

  • Assist the Maintenance team in scheduling and registering for required classes and certifications.


Inventory and Procurement

  • Shop for and order parts as needed for ongoing operations.
  • Maintain and organize inventory to ensure timely access to necessary items.


Revenue Forecasting

  • Provide basic revenue forecasting to support department planning (excluding payroll responsibilities).


QUALIFICATIONS:

  • Strong organizational and multitasking abilities.
  • Excellent communication skills for interacting with guests, teams, and vendors.
  • Proficiency in administrative tools, including MaintainX or similar systems.
  • Detail-oriented with experience in billing and data tracking.
  • Basic knowledge of forecasting and inventory management is a plus.


Preferred Experience

  • Prior experience in hospitality, property management, or similar operational roles.
  • Familiarity with maintenance and housekeeping operations.


DATES OF EMPLOYMENT:
  • Flex Year Round - may have periods of layoff or reduced hours


PAY:
  • Pay: $20.00 - 25.00 per hour, dependent on experience
