*This opportunity is an in-person position located in downtown Chicago at the Hyatt Regency Chicago at 151 East Wacker Drive, Chicago, IL 60601* Our Associate Client Services Manager coordinates and oversees tradeshow production and provides on-site supervision at the Hyatt Regency Chicago for a variety of accounts. Reports directly to the Associate Director of Client Services/Director of Client Services. Responsibilities
- Responsible for the management of shows from planning stages through collection of invoice, including:
- collaborating with clients to gather information, help influence decision making and manage to customer expectations
- floor plan management
- writing work orders
- overseeing the creation, approval and distribution of service kits
- working with internal departments to ensure work orders are completed
- overseeing the set-up and tear down of shows
- generating show management invoices and following up until collected
- Act as a liaison with show management, exhibitors, facility staffs, production personnel, internal clients and ancillary vendors with regard to all services and build working relationships with all
- Act as a supporting staff member for large Portfolio Business and local support for traveling Client Services Management Staff
- Ensure all events are produced within established budget guidelines. Budget and fiscal responsibility on assigned events including accuracy, forecasting and management
- Fulfill roll in Show Planning process as required on assigned shows
- Basic understanding of pricing models and estimation
- Basic understanding of GES and onPeak's Products and Services
- Adhere to all Business Standard Operating Procedures
- Performs other duties as assigned and deemed necessary of the position
Qualifications
- College degree preferred
- (2) year's experience in the tradeshow, convention, hospitality industry or similar experience preferred
- Base industry knowledge
- Developed management approach
- Basic understanding of Key Performance Indicator's
- Basic understanding of upstream/downstream cause & effect
- Cross department capabilities
- Capable of running new/modified processes
- Capable in multisystem management
- Potential Travel up to 25%
- Base understanding of accounting and finance knowledge (read and understand)
- Base understanding of execution on FWL/MEC process
- Detail oriented and able to multi-task
- Strong Communication skills
Work Environment
- Requires ability to adapt to multiple settings and shifting responsibilities
- Must be able to work under pressure
- Opportunity to work nights, weekends and at showsite
- Position may require long hours during several months of the year. Typically performs work on the event floor, in noisy and crowded areas
- Frequently encounters uncomfortable temperatures, dust and/or other conditions
- Requires working both alone and with others in a team atmosphere
- Requires working with union and non-union employees
