Overview

We are looking for a strong and experienced Executive Assistant to provide consistent, high-level executive administrative support to the Chief Information and Data Officer (CIO) and the Information Technology (IT) organization. This individual will be responsible for acting as a professional liaison with internal executives and leaders and high-level external contacts.

The successful candidate will have strong executive administration skills and will excel in project management, communication and creative problem solving. The successful candidate will be distinguished by their ability to organize work, establish priorities, and meet individual and team goals. As member of the IT leadership team, it is expected that the Executive Assistant will be a highly effective collaborator and communicator. A successful candidate will have a positive attitude and demonstrate a proven track record of working with executive leadership.

This role is hybrid and requires onsite support in our Cambridge, MA offices 2+ days a week.

Key Responsibilities

  • Provides executive administrative support for CIO & Chief Data Officer and select leaders including assistance with department goals, meetings, calendar, travel, expense reports, etc.
  • Runs all administration functions like All Hands, LT meetings where your role is the administrative point of contact and execution
  • Coordinate with the CIO & Chief Data Officer and Sr. Director of Strategy and Operations for department communications; including organizing organizational updates, newsletters, senior leader communications.
  • Run and own smaller internal projects sponsored by CIO
  • Support procurement processes: new vendor forms, legal agreements (CDA, MSA, SOWs), purchase requisitions, etc.
  • Support processes related to corporate sponsorships: payment, event attendance, materials, etc.
  • Coordinate and provide organizational and administrative support for company-sponsored events
  • Coordinate and provide administrative support for creative projects (filming schedules,
  • logistics, etc.)
  • Manages and prioritizes internal and external communications including emails, arrangement of conference calls and Zoom meetings; prepare formal agendas and other communication/meeting materials
  • Arrange and provide support for meetings including team meetings and trainings, as well as team building events; requires strong organizational and planning skills, including interface with catering, audio visual setup, etc.
  • Provide additional support as needed for broader IT department including travel, calendaring, scheduling ad-hoc meetings and coordinating guests
  • Assist with on-boarding new members of the IT department
  • Appropriately manage information of a highly confidential and critical nature
  • Participates as member of company-wide Executive Admin (EA) team and participates in EA team meetings, initiatives, and coverage
  • Perform other duties as assigned

Qualifications

  • Bachelor's degree preferred with a minimum of 10+ years relevant experience preferred.
  • Outstanding verbal and written communication skills required with keen attention to accuracy, details, formatting, and grammar.
  • Expert knowledge of MS Office applications including OneNote, MS PowerPoint, Excel, Word and Outlook required.
  • Prior work experience in a global life sciences or technology company is desirable.
