  • Affiliate Document Management - Assist in organizing and maintaining important documents for our international affiliates, ensuring accuracy and accessibility within our ERP systems and other electronic filing systems
  • Payment Voucher Process - Support the creation and processing of payment vouchers, learning the intricacies of financial transactions and vendor payments
  • Vendor Management - Help manage relationships with our vendors, including data collection, quote preparation, and supplier selection
  • Corporate Purchasing - Participate in the corporate purchasing process, from office supply orders to equipment maintenance and service contracts

DUTIES AND RESPONSIBILITIES



  • Assist the Purchasing team with Requests for Quotes (RFQs), Purchase Orders, and Payment Vouchers.
  • Support buyers in data collection, quote preparation, analysis, and supplier selection.
  • Manage office supply orders, equipment maintenance, and service contracts.
  • Participate in supplier and internal team meetings.
  • Gather and coordinate cross-functional input from Project Managers, Buyers, Engineers, Operations team, and other stakeholders regarding project deliverables.
  • Conduct comparative studies of suppliers and perform spend analysis.
  • Handle data collection, spreadsheet creation, and data analysis.
  • Maintain physical and digital filing systems.
  • Liaison with the IT department and Help Desk when service is required.
  • Process cargo tracking notes for shipments abroad.
  • Complete vendor forms, verbal verifications, and upload tax forms.
  • Reconcile vendor invoices and process payments.
  • Coordinate mail and package delivery.
  • Process DHL and UPS shipments.
  • Perform special projects as needed


EDUCATION AND EXPERIENCE



  • Pursuing a degree in Supply Chain Management, Logistics, Business Administration, or a related field.
  • Prior internship experience is a plus.
  • High level of integrity, trust, and a positive attitude.
  • Excellent interpersonal and communication skills.
  • High attention to detail and ability to multi-task.
  • Ability to work in a fast-paced environment and prioritize tasks.
  • Proficient in Microsoft Word, Excel, Outlook, and SharePoint.
  • Basic knowledge of additional languages (French, Spanish) is a plus.

  • Summer 2025 (approximately 10-12 weeks)
