About CivicSpark

CivicSpark is a national AmeriCorps program focused on building capacity of local government agencies and community organizations to address pressing community resilience issues such as natural disaster preparedness, housing affordability, energy networks, transportation and infrastructure, economic development, water management, and public health. The fellowship program provides a launchpad for more than 100 young professionals per year who are seeking careers in community resilience sectors. Since 2014, nearly 1,000 Fellows have provided over one million hours of service to more than 300 local public agencies through over 1,000 projects. CivicSpark currently operates in three states: California, Colorado, and Washington, with expansion to additional states planned for fall 2025.

About the Position

The Public Health Institute's CivicSpark fellowship program is seeking a Fellow Support Associate. The position provides support for a variety of fellow-oriented tasks involved with administering the program. This position reports to the CivicSpark Recruitment Manager and supports Fellow advising, recruitment, onboarding and training, support and mentorship, marketing and communications and data management. The ideal candidate will have strong communication, organizational and project management skills with a growth mindset, and the ability to learn and apply new skills. This is an excellent opportunity to be involved and build expertise in program support for an AmeriCorps program, particularly in the fields of community resilience, public health and environmental stewardship.

This is a time-limited, full-time position that is expected to end on September 15, 2025. This position may be extended depending on program needs and funding availability. At PHI, a time-limited position is defined as regular employment with an expected end date of no more than one year from the beginning of the position. In rare circumstances, time-limited positions may be extended to a maximum total length of up to eighteen (18) months from the start of the employee's original time-limited position.

This position is fully remote. Based on the CivicSpark fellowship program's business needs, candidates in the state of Colorado are strongly preferred, followed by candidates who are based in California. Candidates outside of CO and CA with the relevant qualifications aligned with the job requirements are welcome to apply and will be considered.

Full pay range for this position: $28.26 to $40.29 per hour. The typical hiring range for this position is from $28.26 (minimum) to $34.28 (midpoint) per hour. The starting wage is determined based on the candidate's knowledge, skills, experience, as well as budget availability.



Essential Duties & Responsibilities

Fellow Support and Mentorship:



  • Provide overarching support, guidance and mentorship to 100+ Fellows on program requirements and deliverables.
  • Provide direct support, guidance and mentorship to Fellows on project implementation, site expectations, project and professional goal setting, program reporting, and case management as needed.
  • Conduct check-ins and provide individualized support to address challenges or concerns as needed.
  • Support data collection and analysis of Fellow feedback.


Fellow Recruitment and Onboarding:



  • Assist with Fellow recruitment through conducting outreach and interviews with potential Fellow candidates.
  • Support a comprehensive Fellow hiring and onboarding process including reviewing applications, scheduling interviews, managing hiring process data and onboarding tasks using existing systems including OnCorps and AirTable.
  • Assist with year-round recruitment activities for CivicSpark Fellows and project partners, including research into relevant outreach channels and management of job postings.
  • Coordinate and conduct recruitment and onboarding sessions for new Fellows.


Communications and Marketing:



  • Assist with CivicSpark recruitment marketing and communications processes, including website updates, content development, newsletters, social media, and marketing to potential partners and Fellows.
  • Assist with recruitment communications, including mailing lists, listservs, file storage and organization.
  • Assist with photo collection and file storage processes.


Data Management and Reporting:



  • Assist with maintaining recruitment systems and databases.
  • Prepare reports documenting Fellow progress and program impact for internal and external stakeholders.
  • Conduct regular Fellow service hour reviews and audits of timesheets in OnCorps for accuracy and compliance.
  • Assist with reporting in the following areas:

    • Fellow demographics
    • Collecting Fellow stories




Event Planning:



  • Assist with planning for virtual and in-person events, including information sessions, career fairs and community service days.
  • Assist with venue rentals, catering, scheduling and agenda development for CivicSpark in-person events.
  • Assist with tech support for CivicSpark virtual events.


Other:



  • Conduct travel as required.
  • Perform other duties as assigned.



Minimum Qualifications

  • 2 years of relevant experience with recruitment; supervising and/or mentoring of fellows, interns and/or volunteers; operations, project management, and/or communications.
  • Bachelor's degree in urban planning, environmental studies, sustainability, communications, marketing or a relevant field; or substitute with four additional years of relevant experience.



Other Qualifications

  • Ability to work remotely and travel as required.
  • Experience with recruitment and marketing tasks.
  • Experience assisting with mentoring individuals, especially young adults.
  • Experience with AmeriCorps or similar service-oriented programs preferred.
  • Proficiency in, or ability to learn, Google Suite, AirTable, Confluence, WordPress, Formsite, and/or Zapier.
  • Experience working in a support or mentorship capacity, preferably in a nonprofit or service-oriented environment.
  • Experience in data collection and analysis.
  • Excellent organizational and time management skills.
  • Can effectively manage workload and competing priorities.
  • Have strong written and verbal communication skills.
  • A baseline understanding of website development and content creation.
  • Interest in learning about programs that build local community resilience, public health and environmental stewardship.
  • Be a citizen, national, or lawful permanent resident of the United States.
  • Ability to pass FBI, state, and NSOPW background checks required for the job.
