Job Summary

Under general supervision of the Graduate Group Manager, develop, manage and implement assigned aspects of a large and complex graduate group in the Department of Computer Science, including academic advising, graduate student recruitment and retention efforts. Provide administrative, and programmatic support and development for a large academic unit. Responsible for providing comprehensive and complex academic advising; communicating and developing policies and procedures that ensure compliance with Graduate Studies rules, regulations and deadlines. Develop and manage the budget including block grants/GPFA, fellowships, travel awards, federal work-study funds, faculty start-up funds, recruitment funds, and TA/Reader allocations. As part of the Computer Science student services team, collaboratively participate in a team-based approach to student services and provide expertise and assistance in the graduate services and other programmatic areas.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

* Bachelor's degree in related area and /or equivalent experience / training.
* Experience using software programs (i.e., Microsoft Word and Excel) for word processing, maintaining databases, accessing student information, using time-management/scheduling calendars (i.e., Google Calendar), and learning new software applications.
* Experience advising and counseling students. Experience applying holistic advising & counseling approaches in a college/university setting.
* Experience maintaining confidentiality of student records and applying federal and state FERPA and Information Privacy Act regulations.
* Knowledge of graduate and/or undergraduate degree requirements and advising systems. Experience advising and counseling students and applying holistic advising approaches.
* Strong interpersonal and customer service skills; effective verbal and written communication skills, and effective listening skills to interact positively and cooperatively with a diverse and dynamic University community. Writing, editing and proofreading skills to answer correspondence, write reports, make public presentations, and develop informational materials.
* Analytical skills to evaluate and interpret complex policies, procedures, data, and other materials, including interpreting, evaluating, projecting and problem-solving a variety of issues; experience in analysis of trends.
* Organizational and planning skills to manage multiple assignments/projects simultaneously with attention to detail. Skills and initiative to establish priorities, distribute efforts among tasks, and work effectively independently and as a team member. Ability to adapt to shifting priorities, meet deadlines and maintain a high level of productivity.

Preferred Qualifications

* Master's degree in academic advising, counseling, higher education leadership, student services, or related field; or an equivalent combination of education and experience, including a bachelor's degree from an accredited college or university.
* Experience with student employment and student hiring practices/complexities.
* Experience in administering a graduate program and advising students on degree progression and requirements.
* Experience with managing the student admissions process at a college/university, preferably admission to graduate study. Familiarity with student recruitment and outreach practices.
* Knowledge of BANNER, OASIS, GradHub, GradSphere, Slate Manage/Reader, UCD Advising Appointment System and other campus systems and web-based tools.
* Skills to recognize and handle difficult/unpleasant situations and/or individuals; to identify problems and needs and to make competent referrals and/or to develop solutions.
* Familiarity with academic and social problems confronting students from diverse backgrounds college settings.
* Knowledgeable in student employment and hiring practices/complexities. Experience in financial planning and management of funding allocations.

Department Overview

The Department of Computer Science is a large complex research unit, one of eight academic departments in the College of Engineering, and provides instruction and research within specialty areas of engineering. The Department has 43 faculty, 9 emeriti, 3 adjunct professors, 3 technical IT Support staff, and 14 administrative staff. The Graduate Group of Computer Science administers three graduate programs: B.S.-to-M.S, M.S. and Ph.D. with approximately 500+ graduate students and supports nearly 100 graduate group faculty. Faculty in the Graduate Group of Computer Science have primary appointments in multiple disciplines including Engineering, School of Medicine, Graduate School of Management, Molecular and Cellular Biology, Physics, Math, Sociology, to name a few. The Undergraduate program has over 1300 students within 2 programs (CS and CSE). The Graduate Group receives funding in excess of $4M, the Department Operational budget is in excess of $3M, and the faculty expenditures averages ~$6M. Computer Science has a large undergraduate student service component. CS teaches over 13,000 students per year (over 54,000 SCH) with students from various programs across campus

Work Environment
