Title: Documentation Specialist

Duration: 2 years (Possibility of Extension)

Type of position: Hybrid (3 days in the office and 2 days remote)

Location/Site: Noth Chicago, IL


Overview:

The Documentation Specialist will be responsible for handling and organizing important documents, ensuring they are accurate and compliant. This includes editing, filing, and managing records using Microsoft Office and Visio. The role involves reviewing documents, troubleshooting issues, and supporting team requests.

Responsibilities:

  • Prepare, edit, file, and assemble documentation, including SOPs, vDTPs, and L4s.
  • Ensure accuracy and compliance with regulatory requirements.
  • Maintain and manage documents in a controlled document environment.
  • Utilize Microsoft Office Suite and Visio for document creation and management.
  • Collaborate with team members to ensure timely completion of documentation tasks.
  • Track and follow up on documentation processes to meet deadlines.



Qualifications:

  • 1-3 years of experience in documentation or a related field.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Visio.
  • Familiarity with a controlled document environment (preferred).
  • Experience with LMS systems (such as ComplianceWire) is a plus.
  • Strong interpersonal, communication, and organizational skills.
  • Ability to meet deadlines and maintain high levels of accuracy.



Education:

  • High school diploma required.
  • Associate's degree preferred.



Top Must have skills:

  • Organization Skills
  • System aptitude - good with using systems; reports; using systems to perform work and support users.
  • Ability to analyze a problem and determine resolution - answer user questions regarding training courses assigned.
  • Proof courses and document/redline findings.



Preferred skills/experience:

Background in learning or training; adult learning principles, course content creation or management.
