Purpose of Position
The Benefits Assistant provides administrative and clerical support to the Benefits and Human Resources teams, ensuring smooth management of benefits processes and adherence to institutional and regulatory standards.

The role is focused on ensuring accurate benefits enrollment, managing employee communications, overseeing COBRA administration, and assisting with special projects within the HR department to enhance overall operational efficiency.
Primary Responsibilities
Accurate Benefits Enrollment and Record Maintenance

  • Process benefit changes in SAP, including qualified status changes, eligibility updates, and elective contributions for retirement and health savings accounts.
  • Ensure the accuracy of all benefits enrollment in SAP to provide vendors with precise eligibility information.
  • Run and analyze daily reports for new hires, rehires, terminations, and status changes to take appropriate actions.
  • Monitor and manage monthly dependent age reports to remove over-age dependents and prevent potential costs.
  • Generate gain or loss of coverage letters for employees as needed and maintain benefits records.



Benefits and HR Team Support
  • Provide ongoing administrative support for Benefits and HR teams, including assisting with special projects and front desk coverage.
Annual Enrollment Tasks and Support
  • Provide assistance with preparation and execution of annual enrollment tasks, ensuring smooth operations and compliance.

Orientation Support and Employee Enrollment

  • Schedule and coordinate orientation sessions for benefit-eligible employees, sending invitations via email.
  • Assist with orientation sessions, ensuring new hires are enrolled in university-paid plans.
  • Process manual life insurance salary overrides and enroll rehires and employees with status changes in SAP.


COBRA Administration

  • Manage COBRA processes through the vendor, Chard Snyder, including elections and terminations.
  • Ensure COBRA participants are enrolled with UMR and Express Scripts for medical and prescription insurance.
  • Manually input data for COBRA participants in dental and vision websites.

Communication

  • Respond to employee inquiries related to benefits and eligibility promptly and accurately.
  • Coordinate with vendors to resolve discrepancies or issues related to benefits enrollments and coverage.

Qualifications
High School Diploma/ GED required. Preferred Associate's Degree or higher with courses related to HR or related fields. Prior experience in a HR office and/or benefits administration preferred.

  • Ability to maintain accurate and confidential benefits records.
  • Strong attention to detail in handling benefits-related documentation.
  • Proficient in Microsoft Office Suite, particularly Excel and Word.
  • Familiarity with HRIS systems or similar software for benefits administration is a plus.
  • Ability to manage multiple tasks and prioritize effectively to meet deadlines.
  • Strong written and verbal communication skills to interact with employees and vendors effectively.
  • Strong customer service-oriented approach when addressing employee inquiries, and ability to work collaboratively in a team environment.
  • Committed to safeguarding sensitive employee information with the highest level of confidentiality.
  • Capable of identifying issues and assisting in their resolution through effective problem-solving.
