Our team in Military Aircraft Group is looking for an Executive Assistant to join their team. You will report directly to the Site General Manager and support a team of 12 Site Leaders. A successful candidate will be comfortable in a fast paced, high activity work environment and demonstrate strong customer service, time management, and organization skills. Additionally, they should be able to demonstrate the ability to maintain a high level of confidentiality. To be considered for an Executive Assistant, here's what you'll need to bring with you:
An associate's degree in business or related major, or equivalent experience. At least 5 years of relevant, progressive, experience in a full-time setting. Excellent Communication: Superior verbal and written communication skills to interact effectively with diverse audiences. Problem Solving Skills: Ability to anticipate needs, identify potential issues and implement effective solutions. Organization Skills: Strong ability to multitask, prioritize and manage time efficiently. Adaptability: Flexibility to respond to changing priorities in a fast-paced environment. Proficiency in Microsoft Office Suite A willingness to work outside regular business hours as needed, based on a three-shift production support.
As an Executive Assistant, you will:
Provide administrative support for the Site General Manager and Site Leadership Team including schedule coordination, meeting and event coordination, calendar management, document management, facilitating communications, travel, etc. With support from other team members, provide support for the Military Aircraft Group East Aurora site. This will have a wide range of responsibilities, including:
Coordinating logistics for meetings and events, including conference room booking, catering and technology support. Leading the coordination of site-wide activities, employee meetings and celebrations, including periodically supporting off-shit (2nd and 3rd). Drafting and distributing internal communications. Handling employee inquiries with empathy, detail and care. Special projects and assignments.
Organizing and preparing for meetings, including agenda creation, presentation materials, note-taking, and follow-up on action items. Handle sensitive information with discretion and maintain confidentiality. Quickly troubleshooting issues as they arrive to minimize impact to meeting efficiency and experience. This will require working closely with others across Moog, and as needed, outside vendors. Act as the lead for the Moog store by managing inventory and scheduling, aiding customers, and handling inquiries. Cross training with other administrative assistant team members to provide backup support as necessary.
