As the Benefits / LOA Administrator, you'll help UNIFY's Team Members make the most of their employee benefits, a critical component of their total compensation!

Daily, you will:




  • Work onsite from our Torrance, CA Ops Center to be present and available to UNIFY Team Members in need of your expertise.





  • Serve as the main point of contact for Team Member's employee benefit inquiries, including medical, dental, vision, life, disability, retirement, health savings accounts (HSA), flexible spending accounts (FSA), auxiliary benefits, employee assistance program (EAP) and COBRA.





  • Act as the subject matter expert (SME) on protected absences and accommodations at the federal, state, and local level, including but not limited to FMLA, CFRA, PFL, PFWA, ADA accommodations, Workers Compensation, and company-sponsored leave programs.





  • Build relationships to manage expectations and facilitate meetings with team members, department leaders, and supervisors to provide education, updates, guidance, and consultative advice to effectively manage leaves and accommodations.

Summary:



  • This is a critical role in managing and administering employee benefits and Leave of Absence programs and policies, ensuring compliance with federal, state, and local laws.
  • This position will serve as the primary point of contact for employees regarding benefits, time off, and leave requests, while working closely with Human Resources, Payroll, and external vendors to deliver a seamless team member experience.
  • In-depth knowledge of California-specific regulations, including the California Family Rights Act (CFRA), Paid Family Leave (PFL), and other applicable state leave laws is essential for success in this role.

Responsibilities:



  • Manage the day-to-day relationship with the credit union's third-party leave of absence vendor to successfully administer all federal and state leaves and accommodations, including the short-term disability/long-term disability (STD/LTD) claims.
  • Administer the various employee benefits plans and serve as the main point of contact for employee benefit inquiries, including medical, dental, vision, life, disability, retirement, health savings accounts (HSA), flexible spending accounts (FSA), auxiliary benefits, employee assistance program (EAP) and COBRA.
  • Coordinate open enrollment, including communication, enrollment, and post-enrollment analysis, and ensure timely processing of employee benefit elections, changes, and terminations. Audit, process, activate team member benefit applications, benefit changes, updates or initiate benefit separation documentation.
  • Monitor and audit EDI files for all benefits to ensure team member's accounts are being appropriately funded and works with broker, carriers and ADP team to troubleshoot any errors.
  • Process bi-weekly benefits and absence transactions/integrations, review and process life events and audit and correct errors in a timely manner.
  • Assist and monitor the design of HR Benefit website changes, upgrades, application of designs, interactive tools for end-users, training modules and/or third-party benefit links updates. Monitor all updates and ensure data integrity is maintained.
  • Track and audit system with monthly benefit costs to prepare, process and facilitate payment for benefit related invoices, ensuring accurate payroll deductions and manage premium retro-adjustments with the team members and/or carriers.
  • Ensure compliance with HIPPA, ERISA, ACA, COBRA, and other federal, state, and local leave and benefits regulations, recommending updates to processes and policies as needed to remain compliant.
  • Administer, monitor and serve as a subject matter expert (SME) on protected absences and accommodations at the federal, state, and local level, including but not limited to FMLA, CFRA, PFL, PFWA, ADA accommodations, Workers Compensation, and company-sponsored leave programs. Build internal relationships to manage expectations and facilitate meetings with team members, department leaders, and supervisors to provide education, updates, guidance, and consultative advice to effectively manage leaves and accommodations.
  • Resolve matters related to team member leaves and accommodations, support their re-entry to work after extended leaves, and help empower leaders to anticipate future leave and accommodation planning and impacts.
  • Educate team members about benefits impacted by LOA, including but not limited to time off accruals, disability insurance usage, health insurance and other benefit premiums, and annual mandatory time off requirements/balances.
  • Maintain organized and accurate documentation and ensure compliance with required notice, tracking, and reporting obligations using utmost discretion and confidentiality, including but not limited to EEO-1, CMS, 5500, OSHA300, Creditable Coverage Notices and execution of Qualifying Medical Support Notices, including ensuring custodial parent receives all appropriate notices.
  • Collaborate with Employee Relations to effectively manage broad complex cases.
  • Perform time sensitive duties in collaboration with Payroll and Third-Party Leave Administrator to ensure correct leave reporting within timekeeping system and benefits payments.
  • Conduct employee orientations and benefits workshops to promote engagement and understanding of available programs.
  • Respond to team member inquiries with empathy, confidentiality, and accuracy.
  • Follow UNIFY FCU protocols to ensure the highest level of security to protect the team member's Personal Identifiable Information (PII).
  • Proactively evaluates internal processes and makes recommendations to ensure greater team member experience.
  • Act as backup to Payroll Specialist, including all phases of payroll and manual checks.
  • Conducts ad hoc analysis, reporting and other duties as assigned.
  • Performs other duties as assigned.


Qualifications:



  • Bachelors Degree in a Human Resources or Business-related field strongly preferred.
  • 5+ years relevant experience working within a corporate Human Resources department.
  • 3+ years of specific Leave of Absence experience
  • Expertise in the following Technologies/Platforms/Systems:

    • Required: Proficiency in Microsoft Word, Excel and PowerPoint.
    • Desired: Experience with HRIS systems, benefits platforms, and reporting/ data visualization software.


  • Strong knowledge of employee benefits program, including medical, dental, vision, life insurance, disability, HSA/FSA, auxiliary benefits and COBRA.
  • In-depth understanding of leave of absence policies and benefits legislation including FMLA, CFRA, PFL, PFWA, USERRA, ADA, Workers Compensation, STD, LTD, ERISA, ACA, other relevant state and federal regulations and leave management processes and requirements, with a strong focus of California-specific laws and regulations.
  • Proven ability to handle sensitive and confidential information with discretion, following HIPAA compliance and laws.
  • Strong data processing and management skills, with a high level of accuracy and attention to detail.
  • Strong analytical and problem-solving skills; ability to interpret complex data and make data-driven recommendations.
  • Must be highly organized and capable of handling multiple tasks concurrently, and able to redirect priorities based upon current workload. (Ability to react to current situations.)
  • Excellent written and verbal communication skills. Ability to effectively present information to various audiences and provide consultative support to Team Members and Managers.
  • Strong work ethic and commitment to excellence with a positive mindset and "get-it-done" attitude. High sense of accountability.
