POSITION TITLE: Property Assistant

LOCATION/DEPT: Freedom Center/Harbor Light - Building Services

REPORTS TO: Executive Director

FLSA CATEGORY: Non-Exempt

STATUS TYPE: RFT

PAY GRADE: 403

PAY RANGE: $18.11 - $21.73

DEPARTMENT MISSION

To support the full mission of The Salvation Army through the provision of administrative support to the staff and programs of the Freedom Center/Harbor Light.

PROGRAM/CLIENT ENVIRONMENT

The backgrounds of the clients served by the Freedom Center and Harbor Light programs will manifest a variety of inappropriate behaviors. When this occurs, employees are to respond within the context of the treatment environment of the site. Employee conduct (actions, dress, etc) and interactions (conversations, written communications, etc.) with clients must also be within the treatment environment of the facility.

OUTCOMES

This position is responsible for administrative support to maintenance functions of the Freedom Center / Harbor Light, assuring all required tasks are completed in a timely and efficient manner that complies with Salvation Army, licensing and accreditation requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES



  1. Maintain filing system for facility records and historical documents.
  2. Coordinate weekly and monthly supply purchases.
  3. Provide and administer system for competitive pricing of supplies.
  4. Assist Chief Building Engineer in scheduling outside contractors.
  5. Maintain regular communication with the Metropolitan Divisional Headquarters property department.
  6. Assistance in the completion and maintenance of records for Capital Projects.
  7. Maintain adequate filing of all reports and inspection forms.
  8. Receive and route incident reports through the response chain.
  9. Prepare Incident and Drill reports for bi-annual review processes.
  10. File property and vehicle insurance claims with Chesterfield Resources, making appropriate notifications to the divisional property department.
  11. Maintain vehicle maintenance logs.
  12. Maintain property inventory and asset tracking data.
  13. Complete annual emergency drill schedule.
  14. Receive, route and verify completion of emergency drill reports.
  15. Maintain appropriate inter-departmental communication on property related projects.
  16. All other duties as assigned.


REPORTING RELATIONSHIPS

This position reports to the Executive Director.

In contacts related to this position's duties, this individual acts as a representative of The Salvation Army and its mission.

PERFORMANCE MEASUREMENTS

This individual will be evaluated on how effectively the outcomes of this position are achieved, as well as the timeliness, accuracy and completeness of accomplishing assigned goals.

EDUCATION/EXPERIENCE



  • High School Diploma or GED equivalent is required.
  • Minimum of 2 years of experience providing administrative support in an office setting.


COMPENTENCIES



  • Good communication and interpersonal skills.
  • Valid Illinois Drivers license with a clean driving record is required.
  • Strong attention to detail.
  • Strong computer skills
  • Working competency with MS Office and Excel
  • Knowledge of office equipment such as computers, copiers, printers and phone systems.
  • Must be able to type, file, and enter data accurately.
  • Must be able to maintain confidential information.
  • Must have English grammar skills
  • Demonstrated ability to use initiative and be a self starter.
  • A positive attitude and the ability to be flexible in light of changing job situations/priorities.
  • Able to work as a team member and well with others.
  • Demonstrated ability to use initiative and be a self-starter.
  • Ability to handle people with courtesy and mature judgment.

POSITION LIMITATIONS



  • This individual will only commit Army resources that have been allocated or approved.
  • This individual will keep the Executive Director informed on all critical issues relating to their area of responsibility.
  • This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.


PHYSICAL DEMANDS/WORK ENVIRONMENT



  • This position is required to do light physical work.
  • Must be able to walk up two flights of stairs and lift up to 25lbs.
  • In order to successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and PC.
  • The work environment for this position includes an office environment with a low noise level.
  • Must be able to work with clients that have poor social skills, suffer from mental illness, and have substance abuse problems.
