Summary:

We are seeking a highly organized and detail-oriented Learning and Development Assistant to support our team in delivering effective training programs. This role is heavily focused on administrative tasks, requiring excellent time management and communication skills. Responsibilities include scheduling training sessions, managing logistics, preparing training materials, entering polling questions for interactive sessions, and performing minor video editing tasks. The ideal candidate is a proactive problem-solver with a passion for learning and development and a strong ability to handle multiple tasks simultaneously.

***This is a part-time role working 25 hours per week. We are seeking someone located near our San Jose or Pleasanton office.***

Job Responsibilities:

  • Administrative Support:
    • Provide general administrative support to the Learning and Development team, including managing correspondence, filing documents, maintaining records, and handling other administrative tasks
  • Minor Video Editing:
    • Perform basic video editing tasks, such as trimming footage, adding titles or captions, and converting file formats, as needed for training content
  • Polling/Survey Management:
    • Create and input polling questions and surveys for interactive training sessions using designated platforms
    • Collect and compile results for trainer use
  • Scheduling and Logistics:
    • Assistance with coordinating training sessions, including scheduling dates, times, and locations (virtual or in-person)
    • Support onsite coordination of training programs at the San Jose office, including setting training rooms, printing materials, organizing lunch, etc.
    • Manage participant registrations and communication
    • Arrange for necessary resources (e.g., training rooms, equipment, materials)
  • Training Material Preparation:
    • Prepare and organize training materials, such as presentations, handouts, workbooks, and other resources
    • Ensure materials are accurate, up-to-date, and readily available
  • Communication:
    • Communicate effectively with trainers, participants, and other stakeholders, providing clear and concise information related to training programs
  • Data Entry and Tracking:
    • Enter and maintain training data, track attendance, and generate reports as needed
  • Problem-Solving:
    • Proactively identify and resolve logistical issues or other challenges that may arise during training sessions or in the preparation process
  • Continuous Improvement:
    • Contribute to the ongoing improvement of training programs by providing feedback and suggestions

Qualifications:

  • High School Diploma or equivalent required
  • Proficiency in Microsoft Office Suite
  • Some basic video editing software a plus
  • Knowledge of Learning Management Systems (LMS) a plus but not necessary
  • Strong administrative skills to support our training programs
  • Excellent organizational and time management skills are crucial, along with a keen eye for detail and strong communication abilities
  • Ability to multitask effectively, learn quickly, and work independently, possessing a basic understanding of learning and development principles
  • Ability to work collaboratively and efficiently
  • Excellent customer service and interpersonal skills
  • Proficiency in reading, writing, speaking, and understanding English, with strong attention to spelling, grammar, and punctuation
  • Able to prioritize workload for efficiency
  • Strong organizational and problem-solving abilities
  • Knowledgeable in utilizing various distance learning tools, such as zoom or similar tools
  • Demonstrated expertise in the use of technology and the ability to quickly learn new software
  • Knowledge of the accounting industry a plus; however, experience in related industries is also welcome
  • Strong written and oral communication skills

Compensation Range: $27.00/hr to $30.00/hr
