About the Position

  • As a Senior Executive Assistant, you will provide analytical and specialized administrative support to the Chief Digital Technology Officer, taking over the complex details and advanced administrative responsibilities. In this role, you may manage special projects and work with senior-level executives within and outside the company, customers, vendors, visitors and other stakeholders. The work is generally of critical importance and/or confidential nature, demanding the highest level of professionalism.

Your key responsibilities:

  • Provide state of the art administrative support to the Chief Digital Technology Officer, including calendar management, travel arrangements, scheduling meetings, channeling communication, preparing meeting materials, and supporting key informatics activities.

  • Act as the primary point of contact between the Chief Digital Technology Officer and internal and external stakeholders, skillfully managing the expectations and needs of all involved.

  • Organize and coordinate executive-level meetings, events, and conference calls, ensuring all logistics are handled seamlessly.

  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.

  • Serve as the go to person for Business Operations. This may include Financial Management processes, Onboarding/Offboarding activities, Relationship Management and Department organization.

  • Assist in the preparation and follow-up of key projects and initiatives, including compiling reports and presentations.

  • Liaise and build relationships across the Informatics leadership team and beyond, work closely with the Chief of Staff, Engagement Lead to provide effective support to the Chief Digital Technology Officer.

  • Maintain relationships and information-flow with the global Informatics Administrative Management team, staying abreast with emerging knowledge and trends in administrative practices and collaborating with colleagues across the organisation.

  • Foster a positive and collaborative work environment, ensuring effective teamwork.

Your qualifications and experience:

  • 6+ years of administrative, operations, or project support experience, ideally within the pharmaceutical or bio/digital technology industry.

  • 2+ years of experience supporting senior/executive level leaders (i.e. C-Suite/ officer level role)

  • Ability to handle sensitive, confidential, and proprietary information with discretion and sound judgment.

  • High attention to detail and accuracy, with excellent planning and organizational skills to manage priorities effectively.

  • Strong communication and interpersonal skills with the ability to build relationships across all levels of the organization.

  • Exceptional organizational and time-management skills.

  • Proactive self-starter with excellent judgment who can work independently and anticipate the executive's needs as well as make critical decisions.

  • Collaborative mindset, support team development, seek all relevant or useful information for the team, willing to contribute and assist others in the debt as needs arise.

  • Confident in managing multiple tasks in a fast-paced environment, working with diverse teams and senior leaders (including CEC members).

  • Highly proficient with Google Workspace including (Google docs, Sheets, Slides, Forms, Gmail, gCal, gDrive, gMeet etc.).

The expected salary range for this position based on the primary location of South San Francisco is $83,700 - $155,400. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed at the link provided below.
