We're looking for a Crew Support Specialist to join our Crew Dispatching team in Paducah, KY. This role will be responsible for providing all administrative support to the department. You will also serve as a backup Crew Dispatcher for those out on vacation. What you will be doing:
- Analyzing and updating: Unavailability reports to identify and resolve gaps in Crew status.
- Processing Trip Eligibility, Vessel Work History and Job Code Override reports from Crew Solutions to recognize associates in need of trip pay and promotions for payroll
- Managing MASS and One-Off PAF's for RTW, Terminations, Suspensions, Personal leaves, etc.
- Adding and removing boat assignments for new hire and terminated associated in Crew Solutions
- Serve as the liaison between Marine Payroll and Crew Operations in gaining and updating data in Crew Solutions
- Processing annual MVR requests for all associates that meet the criteria
- Assisting with answering external calls and transferring to appropriate departments
- Processing Crew travel expenses
- Assisting with booking crew travel and hotel accommodations
- Filling in for Crew Dispatchers on vacation or out on LOA.
- Tracking no-call, no-show list, and mailing termination letters as needed
- Maintaining the Crew Change calendar and Weekend Duty Roster for Crew Dispatch
- Maintain Crew Dispatcher vessel assignments
- Supporting back up switchboard responsibilities
- Assisting with mail distribution
- Maintaining department Outlook calendar
- Sponsoring Department activities such as associate anniversary celebrations, birthday celebrations and holiday festivities
- Ordering and maintaining office supplies (printer paper, toner, etc and report any maintenance for Crew Dispatch copier) as needed
- Coding Regions Bank report for Crew Travel
- Running various reports as needed
- Coding and processing various online expenses
- Processing Jury Duty Letters
- Supporting department activities with regular and prompt attendance
Qualifications
Knowledge, Skills, and Abilities:
- High School Diploma / GED required
- Microsoft Office Skills
- Good communication skills
- Time management
- Ability to stay organized in a fast-paced environment
