We are looking for 5 organized Document Processing Associates to help during the medical school application and admission cycle. This is a temporary position beginning the end of April and has the potential to extend to September. Pay rate for this role will be $27/hr.

  • Open large volumes of mail, organize mail by different document types, verify authenticity of documentation received, document the receipt of priority mail using Microsoft Excel and/or Microsoft Access, record the number of documents received by document type, identify documentation requiring special handling
  • File and retrieve documents;
  • Maintain strict document security standards and identify areas of improvement where security risks may exist;
  • Assist in warehousing AAMC Fee Assistance Program, AMCAS Letters, and Transcripts
  • Record the receipt of documents associated with AMCAS Letters, Transcripts, AAMC Fee Assistance Program, and transcript legends, using internal software;
  • Communicate with applicants via email using standard responses;
  • Verify authenticity of transcripts; identify documents requiring special handling;
  • Create barcodes for scanning; record documents indexed;
  • Report software issues as they arise and suggest process flow and software improvements;
  • Research documents that are difficult to locate in software system
  • Scan barcoded documents using Kofax software;
  • Scan other documents using Adobe scanning software;
  • Create folders and save scanned images to secure drives;
  • Recognize and report scanning software defects and scanning errors;
  • Identify and suggest ideas for scanning system and process improvements
  • Identify and repair transcript images that are of poor quality or improperly indexed;
  • Repair transcript images identified by Verification staff as illegible or improperly indexed;
  • Research and repair processing issues identified via QA Indexing emails;
  • Respond clearly and accurately to Indexing requests regarding processing
  • Other duties that may require filing, mailing, data entry, learning new policy and procedures to assist other departments within AMCAS, writing procedural documentation, and other duties as they arise.

What will you bring to the role?

  • Bachelor's degree or equivalent professional experience preferred.
  • Strong verbal and written communication skills required.
  • 1-2 years experience with document management industry;
  • 1-2 years experience handling large volumes of records;
  • 1-2 years experience working with sensitive documentation
  • 1-2 years working in college admissions a plus.
  • Ability to prioritize tasks to achieve production and service goals;
  • Ability to maintain strict security and confidentiality standards; strong attention to detail; must be highly organized, ability to work well within a team environment

Additional requirements: Intermediate Microsoft Office skills; Understanding of bar-coding, scanning, workflow; and AMCAS proprietary software as well as Microsoft Office products and other software required to ensure the successful and timely delivery of AMCAS products and services; ability to lift 30lbs.

If a bachelor's degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
