Position Highlights |
The College of Medicine-Tucson Office of Admissions is seeking a Sr. Program Coordinator overseeing the HEAP and APME pathway programs. This position is responsible for the administration, operations, recruitment, tracking and reporting, advising, and program development associated with the Accelerated Pathway to Medical Education (APME), and the Honors Early Assurance Program (HEAP). The Sr. Program Coordinator independently oversees the entire recruitment process for APME and HEAP including outreach efforts, application processing, screening and tracking, interview, recruitment and matriculation. The Sr. Program Coordinator serves as Program Advisor and Pre-Health Mentor for the undergraduate students enrolled in APME and HEAP, and facilitates all program related scheduling, tracking, communications, marketing, outreach, operations and budgeting. The incumbent will develop and implement strategies to support recruitment, retention, and student success and build a pipeline for APME applicants to other pathway programs, supporting student enrollment for the College of Medicine - Tucson undergraduate degree programs. The Sr. Program Coordinator supports the College of Medicine - Tucson Office of Admissions administratively, and is actively involved in supporting the recruitment, screening, application and interview processes within the Office of Admissions, and administratively supports the APME and HEAP Program Director. Duties & Responsibilities |
- Develop marketing materials and engage in national and regional outreach for the APME and HEAP programs.
- Present virtual and in-person information sessions, develop collaborative partnerships to grow program interest and application numbers with undergraduate partners (Pre-Health Advising, Pre-Health Clubs, Honors College, departments and colleges at the UA) and national and regional high school outreach to recruit national talent to the UA.
- Oversee and develop social media opportunities to support recruitment and engagement efforts.
- Manage the entire application, selection, interview, and recruitment process for the APME program.
- Co-manage the application, selection, interview, and recruitment process for the HEAP program in collaboration with the Franke Honors College.
- Create, manage, and facilitate all communications with applicants, respond to program and application inquiries, and facilitate the interview process.
- Responsible for handling the scheduling, communication, evaluator recruitment, applicant evaluation from screening, interview, admissions committee review and applicant acceptance.
- Facilitate annual application updates and changes, required reports, tracking, and evaluation for the recruitment process.
- Responsible for HEAP Open House event and HEAP and APME Second Look participation, as well as coordination and participation in undergraduate cross-campus recruitment events like Admitted Students Day and Flinn Visit.
- Attend APME and HEAP admissions committee meetings and attend the annual Admissions Committee Retreat.
- Administrative support of APME and HEAP Program Operations by handling email communications, taking phone calls, maintaining websites and social media accounts, facilitating program related marketing requirements like photography and videography, creating marketing materials to distribute program information and opportunities, and coordinating with various teams within and outside of the College of Medicine - Tucson to develop the programs.
- Plan and administer the annual SUMMIT MED summer program for HEAP and APME, including scheduling societies sessions in ICAPS, simulation session in ASTEC, facilitating guest speakers, and all associated orders in compliance with UA financials.
- Student Academic Advising for HEAP and APME, including biannual individual check-ins with APME students to ensure program requirements are met, and students are progressing within the program.
- Develop individual student success plans as well as remediation and academic probation plans for students within each pathway program.
- Schedule and develop semester programming for APME in collaboration with the Program Director.
- Organize and support special events like White Coat, Applicant Visit Days, Admitted Students Day, Graduation, SUMMIT MED, Second Look in collaboration with the Admissions team and other campus partners.
- Coordinate with the Undergraduate Degrees within the College of Medicine - Tucson and the Comprehensive Education Center at the College of Medicine - Tucson
Knowledge, Skills, and Abilities
- Knowledge and expertise of concepts, principles, and practices of a single professional discipline or a broad understanding of multiple related disciplines and general management.
- Expert knowledge of full MS Suite, SLATE, Adobe Creative Cloud, AMCAS, AMP and SAAS applicant database management system, Qualtrics, UAccess Financials, UAccess Analytics, and Edge Learning.
- Ability to make data-driven decisions and solving strategic and unpredicted problems with limited supervision.

Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
