Job Description:

The Job/What You'll Do:

This person will be joining the Facilities team which is responsible for Managing and Maintaining Offices.

This is a full-time position in our Concord, CA office with a hybrid work schedule.

Responsibilities:

  • Help maintain internal standards for facilities; furnishings, fixtures, and equipment.

  • Execute all administrative tasks. Included but not limited to ordering and restocking of office and break room supplies on all floors, and office equipment (Coffee Brewers, Fountains, Copiers, Printers, etc.)

  • Assist with the maintenance of owned and leased facilities equipment including Coffee Brewers, Soda Fountains, Appliances, Printers, and Copiers, as well as submitting work order tickets to building management

  • Assist with managing the Facilities ticketing system, by responding to work orders for facility needs, reports, and emergency assistance

  • Assist with the coordination of office moves and relocations as needed. Including but not limited to assisting with the coordination of removal of furniture, data/network cabling, schedule cleaning, construction, and vendor walkthroughs

  • Assist with coordinating company events and activities to maintain company morale. Contact venue, set up contract, order food/supplies, gifts, etc.

  • Maintain oversight on conference rooms, conference room scheduling, break rooms, and common areas, coordinating with building management, and AssetMark Leaders/Associates

  • Assist with periodic reward and recognition in support of AssetMark Associates

  • Act as Safety Floor Warden; maintain ownership of the office AED devices, checking batteries and ordering replacements, as well as assisting in the Safety Training Program

  • Work with property management representatives, including forwarding important building notices/communications via email to staff, and creating tickets for various Service requests for the office

  • Assist with Onboarding/offboarding badge requests in the security system and running reports

  • Manage Pavillion Space requests and calendaring

  • Administrative Duties such as calendaring & scheduling, coordinating incoming/outgoing mail and parcels, and guest/visitor calendaring

  • Serve as backup for front desk position when they are away from their desk (breaks, Lunches, PTO, Misc.)

    Assist with logistic support for meetings (e.g. stocking mini-fridges, placing work orders for Janitorial services, etc.) as requested

  • Manage High-traffic front-desk reception area

  • Maintain control over sign-in and temporary badge access, answering general phone calls, and managing general office supply function in support of the operation

  • Other duties as assigned

Knowledge, Skills, and Abilities:

  • Knowledge of how to set up office systems and procedures

  • Time management skills

  • Multi-tasking skills

Education & Experience:

  • Proficiency in Microsoft Office Suite with an emphasis on Outlook, and Excel

  • Excellent verbal and written communication skills

  • Ability to work independently and re-prioritize when necessary

Compensation: The Base Salary range for this position is between $62,000-$66,000.

This information reflects a base salary range that AssetMark reasonably expects to pay for the position based on a number of factors which may include job-related knowledge, skills, education, experience, and actual work location. This position will also be eligible for additional variable incentive compensation and competitive benefits.

Candidates must be legally authorized to work in the US to be considered. We are unable to provide visa sponsorship for this position.
