The Gist

The Administration Manager plays a key role in supporting executives by handling administrative

details, directing & managing projects, company events & calendaring, fielding communication on behalf of our CEO, Leadership team, and coordinating the administrative team/front office staff.

What You'll Do



  • Coordinate and schedule Leadership Team meetings.
  • Plan and coordinate internal company events, including but not limited to: Town Hall meetings, team- building events, holiday parties, and other gatherings to strengthen employee connections.
  • Identify and act on opportunities to enhance culture and connection among local and remote teams.
  • Align all internal and community events to the communication principles set by Corporate Affairs and Internal Communications.
  • Implement a beer donation strategy aligned with company's philanthropic and brand awareness goals.
  • Source and manage vendors and service providers to support event planning and daily operations.
  • Maintain accurate records of donations, inventory, and distribution logistics.
  • Manage incoming donation requests, vet recipients, and ensure alignment with company values and legal guidelines.


  • Coordinate projects in support of the Leadership Team members as needed.
  • Maintain administrative operations' procedural documentation, to ensure consistent performance of routines.
  • Arrange and coordinate: travel, meetings, hotel, dinners during Leadership off-sites and when multiple members of leadership are traveling together.
  • Notify Leadership on a weekly basis of upcoming key events, meetings, travel, and visitors to the brewery.
  • Assure discreet handling of sensitive, confidential matters involving people or corporate strategy.
  • Handle inquiries in a professional and courteous manner, in person, on the telephone or via e-mail; arrange "callbacks" for executives as needed.
  • Provide executives with appropriate back-up materials for callbacks.
  • Manage administrative information/storage/document retrieval systems.
  • Assist in the preparation and control of employee engagement & administrative support budgets.
  • Coordinate administrative team / front office staff.
  • Other duties as assigned.



What We're Lookin' For



  • Proven experience in event coordination and office management, preferably in a fast paced, creative environment.
  • Strong project management skills with an eye for detail and a proactive approach.
  • Excellent communication and interpersonal skills, with the ability to work effectively across teams and build relationships.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and capable of learning new tools and programs quickly.
  • Ability to manage budgets and negotiate contracts with vendors. Positive, professional, and approachable demeanor. Adept at problem-solving and navigating fast-paced environments

Key Relationships



  • Reports to the CEO
  • Manages the Office Administrator and Executive Compliance and Sales Coordinator
  • Provides support to all members of the leadership team



Physical Stuff



  • We expect you to be working at the Petaluma office at least three days per week (company policy); Tuesdays and Thursdays are required
