Position Description:
As an Administrative Assistant Sr. in Department of Pediatrics you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures, under general direction.
Primary Functions
- Anticipate and initiate action regarding administrative functions
- Prepare and compose correspondence, reports, memoranda, and other documents using basic and more advanced functions of computer applications and software packages.
- Provide administrative support to the four pillars (CCC, Fellowship, Residency, and Simulation) and division leadership.
- Answer and relay telephone calls, resolve routine inquiries, take and effectively relay appropriate messages.
- Schedule and prepare for meetings; gather necessary information, create agendas and Power Points, set up Teams, Zoom and/or other virtual meeting software; attend meetings to take and disseminate meeting minutes
- Coordinate and maintain calendar of events, appointments, meetings, and travel itineraries for assigned staff.
- Assist in the planning and facilitation of events within the four pillars
- Maintain operation of office equipment such as changing toner and order and track office supplies.
- Process payment requests, requisitions, and invoices
- Greet and direct visitors providing factual information
- Maintain records and file system to effectively manage information following regulatory guidelines.
- Provide back-up support for other administrative staff when needed.
- Respond to various situations in the work of the division or department.
- Perform other duties as assigned.
Knowledge - Skills - Abilities
Clerical - Apply principles of administrative procedures and systems including word processing, managing files and records, and completing forms
Customer Service - Knowledge of principles for creating positive customer experiences
Time Management - Skilled managing time in order to ensure work is completed in a timely manner
Communication - Effectively and clearly exchange information in written or verbal form
Computers - Knowledge of basic word processing and other office applications
Event Planning - Apply organizational and relational skills to plan and facilitate events

Position Requirements:
Appropriate experience may be substituted on equivalent basis
Minimum Required Education: High school diploma
Minimum Required Experience: 5 years of experience
Preferred Education: Associate's Degree
Preferred Experience: Experience in academic medical center
