Job Details

The Records Clerk will utilize the hospital Card Access Photo ID system to take photographs of and issue identification cards to Jefferson employees, volunteers, and vendors. Enters and manages access data and permissions and facilitates report records within this system to ensure accurate and timely security and time and attendance functions within the hospital.

*Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.

*Meets all standards of the Patient Satisfaction Initiative Criteria in order to make Jefferson the hospital of choice for Patients and Employees.

*Access Control System Administration: Configuring and maintaining electronic access control systems, such as keycards, PIN codes, and biometric systems. Ensuring correct permissions and access levels are assigned based on roles and responsibilities.

*Monitoring and Auditing: Continuously monitoring access control logs to detect unauthorized access attempts or anomalies. Conducting regular audits to ensure compliance with security policies and reviewing system activity for potential breaches.

*Troubleshooting and Support: Providing technical support for access control systems, resolving issues related to ID card malfunctions, system errors, or access denials.

*Training and Awareness: Educating staff and contractors on proper ID badge use, access control policies, and security best practices.

*Performs clerical and receptionist duties as required such as answering telephones, facilitating requests for service, accessing and using a variety of computer databases, and interacts with, and provides services to patients, employees, and others to support the functions of the Public Safety Department.

*Collaboration with Other Departments: Working closely with HR, IT, and Public Safety teams to ensure seamless coordination and communication on access-related matters.

*Computer database, computer photo management and word processing skills are required. Must be able to interact with others in a friendly and helpful manner.

Minimum Education and Experience Requirements

  • High School Diploma or GED equivalent
  • Two (2) or more years' experience working in a healthcare organization (preferably Public Safety/Security department), or in a retail, accounting, or other related business is required
