Overview
CAES by Honeywell is seeking a Project Coordinator for its Richardson, TX site. Generally, supports at least one manager or multiple managers/directors and departments as required; works under minimal supervision and uses a large amount of discretion and decision-making in making administrative and material management judgments, which may require interpretation of operating guidelines to resolve complex and non-routine issues. Performs inspection and receipt of materials confirmation of quantities and inventory tracking within business systems including day-to-day receipts, as well as periodic inventory cycle counting and audits. Duties frequently require an advanced range of skills and knowledge of organizational policies and procedures, specialized recordkeeping and database management, materials/inventory management, plus specified projects and tasks such as researching and collating information, generating weekly & monthly reports.
Responsibilities
ESSENTIAL FUNCTIONS and DUTIES:
- Establishes, updates, and maintains department's files, database, inventories, and records. Implements and maintains data management systems as appropriate.
- Initiates / reviews Purchase Requests and ensures proper approvals per Supply Chain guidelines including RFQ's and negotiations, PO Acceptance/Release, tracking delivery commitments, and tracking of all PO order history and on-time delivery.
- Follows-up and expedites late and pending orders; resolves receiving discrepancies; coordinates Return to Vendor (RTV) and reconciles finance issues (incorrect invoices).
- Produces material status reports for program reviews as required by program management
- Receives incoming material and confirms contents and quantities. Logs receipt into business systems and updates inventory counts.
- Conducts periodic inventory counts and updates on-hand quantities when required
- Assists in administrative problem solving, project planning, development and execution of stated organization goals and objectives such as monitoring, reconciling, and assisting with fiscal administration for the unit, including but not limited to budgets, purchasing, materials inventory.
- Keeps abreast of and complies with company processes and procedures such as style guidelines for correspondence or presentations, travel policy and procedures, administrative and facility supply ordering, Outlook scheduling requirements, and front desk protocols.
- Creates and maintains department and inter-department reports requiring compiling information from various sources and in various formats (spreadsheet, database, etc.). Research information and performs analyses and computations in the processing of data for recurring and ad-hoc reports, summaries or replies to inquiries.
- Perform miscellaneous job-related duties as assigned.
Qualifications
MINIMUM:
- Experience/Education: Associate's Degree or Technical School Certification in a related field and/or equivalent experience. Two years of related experience in administration, material control, and purchasing in an Engineering or Manufacturing environment.
- Communication skills: Ability to receive messages by telephone, in person, electronically and in writing; ask questions and rephrase statements to clarify meaning; ability to read, interpret and comprehend complex written and verbal instructions as well as technical publications; communicate across organizational levels; ability to read and interpret a Supplier's quote and understand the appropriate steps that need to be taken; ability to communicate with quality, integrity and respect in a way that inspires others and encourages innovation and possibilities;
- Proofreading skills: Ability to verify and compare data and correct errors; knowledge of grammar, including correct spelling, definition, and use of words.
- Math skills: ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; ability to compute rate, ratio and percent.
- Computer skills: Knowledge of general office equipment, including maintenance and some troubleshooting. Working knowledge in networked environments using a Windows and/or Windows like interface using Microsoft Office Suite programs at an intermediate to advanced level, including Word, Excel, PowerPoint and Outlook; Experience using business systems for purchasing, receiving and inventory management. Database or MIS (specifically SAP, QuickBooks) experience preferred.
- Time Management and Organizational skills: Flexibility and adaptability to changing priorities and assignments; ability to maintain confidentiality; proven to multi-task and self-manage schedules and priorities per management guidance.

- This position requires access to technology, materials, software or hardware that is controlled by US export law. In order to be eligible for this position, you must be a "US Person" under US export laws (or eligible for approval under a U.S. Government export license)
PREFERRED:
- Four years of related experience in administration, material control and purchasing in an Engineering or Manufacturing environment. Government procurement experience preferred.
- MS Office Certification, preferred
- Experience with an ERP and Inventory Control systems (SAP, Maxcim, Similar)
Hourly Rate Range: $24.60 - $45.06 (Richardson, TX). Applicable pay within the posted range may vary based on factors including, but not limited to, geographical location, job function of the position, education, and experience of the successful candidate.
