In this role, the successful candidate The Volunteer Coordinator, reporting to the System Senior Director for Nursing Wellness and Resilience, is responsible for expanding and managing the Department of Integrative Health and Lerner Health Promotion Program's volunteer-based initiatives. This role encompasses the full spectrum of volunteer management, including recruitment, screening, placement, training, and coordination, with a particular emphasis on extending services to the Rusk Rehabilitation community. This position plays a pivotal role in enhancing patient, caregiver, and staff satisfaction, optimizing cost-effectiveness, and fostering improved health outcomes through strategic volunteerism in healthcare. Job Responsibilities:
- Recruit, screen, interview, and select volunteers through various techniques, including databases, email, and community outreach.
- Assess volunteer applications for appropriate fit, process them accordingly, and make judgments on continuing or discontinuing an applicant's process.
- Collect and maintain accurate information on volunteer availabilities, skills, and interests.
- Develop and implement a comprehensive volunteer orientation and training program, including creating and updating training materials, checklists, surveys, evaluations, policies, and procedures.
- Assign responsibilities and place volunteers in appropriate roles based on their qualifications, schedules, and organizational needs.
- Coordinate and schedule volunteers for regular activities, special events, and large-scale actions.
- Manage specific volunteer programs, assist with program development, and proactively suggest new ideas for volunteer initiatives.
- Maintain and utilize the volunteer database, ensuring accurate data entry and record-keeping.
- Track applicants' progress through the onboarding process and monitor annual requirements for ongoing volunteers.
- Ensure regulatory compliance for incoming and active volunteers, properly documenting and updating all necessary information.
- Oversee volunteers, provide direction, and offer timely feedback and support.
- Collaborate regularly with other departments to coordinate trainings, evaluate volunteer performance, and provide guidance on roles.
- Assist with the coordination of an annual volunteer recognition event and other appreciation activities.
- Manage the shared volunteer inbox, phone lines, and visiting office hours, responding promptly and appropriately.
- Coordinate logistical needs for Community Advisory Board meetings, including communication with members and assisting with note-taking and setup.
- Participate actively in staff meetings, following up on delegated tasks and reporting progress.
- Maintain professional and courteous communication with coworkers, volunteers, and other stakeholders.
- Assist with office management responsibilities and demonstrate willingness to take on additional tasks as needed.
- Contribute to the planning, implementation, and evaluation of volunteer programs.
- Ensure volunteers work in a safe, healthy, and supportive environment in accordance with all appropriate legislation and regulations.
Additional Position Specific Responsibilities: Additional Responsibilities: Contribute to a climate supportive of departmental research and quality improvement to advance volunteer programming within the health system, including collaborating with the Associate Director of Research and the Senior Program Director for Healthy Mondays for Hospitals to evaluate volunteer initiatives. Assist the System Senior Director for Nursing Wellness and Resilience and the Program Director for Health Promotion in preparing annual reports for the institution and donors, as well as letters of intent and grant proposals for prospective funding opportunities. Participate in dissemination efforts (e.g., conference presentations, manuscripts) as needed to showcase the impact of volunteer programs. Minimum Qualifications: To qualify you must have a Minimum Qualifications: Bachelor's Degree in healthcare, volunteer management, or a related field and five years of experience in volunteer program planning and development or an equivalent combination of education and experience. Strong oral and written communication skills. Proficient in software applications, including Word, Excel, PowerPoint, and Outlook. Demonstrated ability to lead and motivate volunteers. Experience in developing and implementing training programs. Preferred Qualifications: Preferred Qualifications: Familiarity with integrative health initiatives and holistic healthcare services. Experience in healthcare volunteer management. Knowledge of best practices in volunteer recruitment, retention, and engagement. Demonstrated success in expanding volunteer programs and services. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
