Position Highlights This position will work closely with and provide direct administrative and program support to the Associate Director, 4-H Youth Development (including but not limited to clientele communication and calendar scheduling). Will assist with the management of the administration and finance portfolio of the state 4-H Youth Development office. Additionally, this position will provide logistic support for several youth trips. This position will implement and support high-quality research-based volunteer and positive youth development 4-H programs that enhance youth-adult engagement and expand community collaborations.

Duties & Responsibilities Administrative Support:
*Coordinates daily operations and activities of 4-H and assigned projects including determining priorities under direction from 4-H leadership
* Coordinates and overseeing assigned workshops, meetings or conferences, logistics, scheduling and speaker/participant communications and travel
* Works closely with the 4-H Associate Director to manage his travel, calendar, and reporting deadlines.

Financial Support:
* Assists the 4-H director to prepare and/or draft periodic reports, financial statements and records on 4-H program activities, progress, status or other special reports for management through the UAccess system; oversees data collection; prepares or assists in preparation of proposals and/or funding continuation from outside sponsors, coordinates closely with Extension Business Office; and prepares first drafts of 4-H communications and coordinates the process from development through distribution.
* Processes 4-H staff travel (authorizations, expense claims, travel advances, etc.); processes all 4-H reimbursements; reconciles 4-H PCard charges, performs monthly expense reconciliation as needed; and monitors program expenditures ensuring that budget allocations are not overspent; maintains close working relationship and confers with Extension Business Office, 4-H Youth Development Foundation and other units to assist in facilitation of departmental and/or programmatic accounting and expense reports.
* Other duties as assigned

County and Membership Support:
* Monitors the 4-H membership enrollment online database by ensuring relevant activity data is secured and entered as appropriate; and producing data reports as needed for 4-H leadership.
* Provides county staff, youth and volunteers with technical advice, problem solving assistance, answers to questions, and interpretation of program goals and policy; refers to appropriate person when unable to respond.
* Interacts and maintains liaison with volunteers, faculty, staff and outside/community agencies in facilitating program objectives; and coordinates 4-H activities with interrelated activities of other units within the university, or outside programs to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications.

Activity Support:
* Coordinates assigned projects in collaboration with 4-H staff, including drafting meeting agenda and materials, recruitment, support to selected committees, communications, scheduling activities.
* Participates in meetings and conferences pertinent to area of responsibility and as directed.
* Other duties as assigned

Knowledge, Skills, and Abilities:
* Demonstrated ability to support or design, implement, and evaluate educational and engagement events in a collaborative environment.
* Demonstrated ability to establish plan of work and create strategies to improve team functionality and customer service experiences in ambiguous environments.
* High competency in people related skills in regard to logistics, problem analysis, conflict management, communications, human relations, and leadership development.
* Demonstrated ability to use current computer technology and distance-bridging technologies to expand learning opportunities.
* Demonstrated ability managing budgets and utilizing grants and contracts.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • 1 year of relevant work experience required.
Preferred Qualifications

  • Experience with budgeting and financial transactions.
  • Experience with youth organization policy and procedure.
  • Experience with recruiting and program enrollment.
