JOB DESCRIPTION:

SUMMARY OF POSITION

The Transcranial Magnetic Stimulation (TMS) Program Coordinator independently manages the day-to-day operations for the (TMS) program, which is an FDA approved, non-invasive, non-drug treatment for Major Depressive Disorder, Obsessive Compulsive Disorder (OCD), and potentially other diagnoses. The coordinator is responsible for coordination and scheduling of all TMS services in collaboration with operations, answering prospective patient inquiries, and conducting initial patient consultations. In addition, this individual will serve as the primary interface for all program related documentation, billing liaison to revenue cycle, prior authorizations, workflow, and performance measurements of staff.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Serves as the subject matter expert for incoming inquiries from prospective patients and referral sources regarding program services.
  • Completes screening and intake of internal and external patient referrals.
  • Performs initial patient consultation, serving as liaison and representative of the patient.
  • Submits all TMS documentation, Benefits Checks and Prior Authorizations in a timely manner.
  • Coordinates and schedules TMS services.
  • Documents TMS patient treatment history, vital signs, and allergies/contraindications per policy/protocols.
  • Demonstrates effective and empathetic patient communication both during and post-treatment course.
  • Active participant on the interdisciplinary team, serving as the primary contact for the medical providers, managing workflows, electronic medical record documentation, and performance metrics. Serves as the liaison between the patient and the treatment team.
  • Investigates and resolves complaints and/or concerns reported by clinical staff, patients, or administration, with other key stakeholders.
  • Completes various audits and monitoring of the psychiatry department and TMS practices.
  • Assists with onboarding and offboarding workflows, voicemail transcription, related to the Psychiatry Department as needed.
  • Identifies & recommends areas for improvement and system efficiencies as it relates to TMS services.
  • Responds calmly and quickly to medical emergencies.

KNOWLEDGE, SKILLS & ABILITIES

  • Effectively communicate via written, verbal, in person and virtual methods.
  • Basic computer skills.

  • Ability to think critically, promoting efficiencies in care delivery and focusing on patient satisfaction.

QUALIFICATIONS

Education

Successful completion of an accredited Medical Assistant program

Years of Experience

Previous Psychiatry experience preferred

Required Certification/Licensure

Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) required

Current CPR certification

$15.75--$22.00
