Overview

SSFM International, Inc. (SSFM) is seeking a part time Project Coordinator V (PC) to join our Project Management Team. Under the general supervision of the Group Manager, the PC will perform senior-level project coordination support functions for assigned groups. This role requires a motivated self-starter with a proven track record in project coordination, exceptional administrative skills, and the ability to thrive in a fast-paced environment.

Key Responsibilities
    • Project Coordination: Perform complex project coordination tasks requiring professional training and independent judgment. Prepare Qualifications (RFQs) and Proposals (RFPs) for client submission.
    • Document Preparation: Analyze RFPs and initiate the preparation of essential project documents, including Contract Documents, Scope of Work, and Project Control Checklists.
    • Project Management Software: Assign project numbers and maintain project information in Deltek Vision Software, CRM Database, and other tracking tools.
    • Financial Tracking: Understand and manage the financial processes related to project submittals, including updating financial tracking information and initiating monthly project billings.
    • Documentation Management: Coordinate and maintain all project documentation in accordance with SSFM's corporate standards and procedures.
    • Client Communication: Communicate effectively with clients and subconsultants regarding project coordination issues and assist with complex project matters.
    • Quality Assurance: Review and modify reports, specifications, and plans to ensure compliance with project scope and budget.
    • Team Collaboration: Work collaboratively with team members and contribute to a positive work environment.
Minimum Qualifications
    • Education & Experience:
        • Seven to ten years of progressively responsible experience as an Office Administrator or Office Manager.
        • Associate's Degree in Office Administration or a related field (preferred).
        • Supervisory experience is a plus.
    • Skills:
        • Proficient in Microsoft Office Suite, including editing and proofreading.
        • Strong organizational and multitasking abilities.
        • Excellent interpersonal and communication skills, both oral and written.
        • Ability to maintain confidentiality and exercise good judgment.
        • Problem-solving skills and adaptability to changing environments.

      • Valid driver's license with a clean abstract.

      • Willingness to invest time to meet project deadlines and enhance skills.
