Position Description:

As a Referral Coordinator, you will serve as the central access point for referring providers and assist in meeting key service and financial pillar goals. Utilizes appropriate protocols and resources, critical thinking, and decision-making skills to navigate the patient through service lines to receive care for referred services. Captures patient-level demographics, insurance eligibility, and registration details and authorizations before service completion. Tests and refines new technology and work flows within PAS to ensure strategic alignment across service lines and support the organization's goals. Supports all aspects of patient coordination and barrier identification to support continuous growth in new patient-external referrals and create a competitive market for our patients and providers.
Responsibilities:
- Serves as the decision-making resource and utilizes critical thinking to analyze the needed coordination for patient care associated across multidisciplinary departments.
- Facilitates timely and efficient referrals and follow-up with patients by managing referral queues, faxes, email, and other correspondence.
- Following detailed guidelines to schedule patient appointments, create referrals, track completion and communicate back to referring physicians if unable to schedule.
- Verifies insurance eligibility for all new patients via automated insurance plan eligibility databases.
- Coordinates with insurance entities to investigate, process, and log referral authorizations.
- Provides patient estimates based on coverage to support expectations of financial responsibilities.
- Conducts outreach efforts with referring providers to provide status updates.
- Completes documentation, including demographics and referral information notes and orders.
- Develops understanding of all Froedtert & Medical College of Wisconsin clinic locations and the locations of its affiliate facilities, including directions to and within associated buildings in order to give appropriate directions to patients.
- Mentors and assists new and existing staff by educating others on area-specific knowledge, skills and tools, and departmental processes.
Preferred Schedule:
Full-time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate business needs.
Position Requirements:
Minimum Qualifications:
Appropriate experience may be substituted for education on an equivalent basis.
Minimum Required Education: High School Diploma
Minimum Required Experience: 3 years' experience to include working in the healthcare field or services.
Preferred Qualifications:
Preferred Education: Bachelors or Associates degree (healthcare administration a plus)
Preferred Experience: Previous experience in physician group practice and ancillary scheduling and referrals. Strong computer and electronic health record knowledge. Strong customer service experience.
