We are seeking a dedicated and organized HR & Legal Assistant to support our HR and legal departments. This role involves assisting with recruitment and employee onboarding, various HR-related administrative tasks, and legal document organization and preparation. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage confidential information with discretion. This position requires someone who is proactive, reliable, and capable of managing multiple tasks in a fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assists with the recruitment and interview process that may include job postings, scheduling interviews, and follow-up correspondence
  • Assists with new employee orientation including scheduling, preparing new hire materials, and paperwork
  • Assists with administrative tasks associated with employee terminations and offboarding
  • Maintains accurate and up-to-date HR and legal files, records, and documentation
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.
  • Verifies I-9 documentation and maintains books are current
  • Maintains State and Federal labor law posters and ensures they are up to date
  • Conducts research for the departments as needed on regulations, policies, etc.
  • Administers tuition reimbursement program, service awards, charitable matching gift program, and the employee referral program
  • Codes invoices of various HR and legal-related expenses
  • Typing, copying, scanning, filing, composing letters and other clerical functions
  • Organizes legal documents, contracts, and correspondence
  • Tracks deadlines for legal filings, compliance requirements, and policy updates
  • Assists with case preparation, including gathering and organizing materials
  • Assists with additional HR and legal-related special projects as assigned
  • Performs other related duties as required and assigned

EDUCATION AND EXPERIENCE

  • Associates degree required, Bachelor's Degree in Human Resources, Communications, Business; or equivalent combination of education and experience preferred
  • Up to 3 years of preparatory or related experience
  • Professional/Financial services experience preferred
  • SHRM Certification preferred

JOB REQUIREMENTS

  • Confidentiality, tact and discretion when dealing with employees is required
  • Strong verbal, written and interpersonal communication skills and the ability to interact effectively with all levels of employees, including senior management are required
  • Experience with HRIS systems preferred; experience with Workday a plus
  • Knowledge of HR theories, practices and laws is preferred
  • Experience working in an HR department preferred
  • Experience in administration of HR programs preferred
  • Strong organizational skills and a high attention to detail is key
  • Proficiency with computers, including Microsoft Office products required
  • Due to the confidential nature of this position, cannot be a relative of an employee of Colliers Securities or its affiliates

Area/Location Specific: Minneapolis, MN

Approximate Wage Range for this Role: $24.04 - $28.85 per hour

This position is also eligible for a discretionary annual bonus

Our compensation ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
