We have an opportunity at our corporate offices in Chicago for a Sr. Communications Coordinator I on our Center for Health Equity team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

This position plays a key role in supporting the communications process for the AMA Center for Health Equity. Reporting to the Senior Communications and Marketing Manager, this role is responsible for efficient coordination, tracking, reviewing and reporting on status for delivery of communication materials to internal and external stakeholders. It supports the logistics of initiatives that advance health equity at both local and national levels, in alignment with the AMA's strategic plan. Other responsibilities include event planning, content tracking, metrics reporting and analysis, and more.

RESPONSIBILITIES:

Communications Coordination

  • Provide logistical and communication support for events, workshops, and campaigns.
  • Assist in coordinating marketing initiatives, including liaising with vendors and internal teams to track deliverables, maintain records and generate reports.
  • Prepare and distribute meeting agendas, background materials and post-meeting reports; provide on-site assistance for in-person meetings as needed.
  • Develop and maintain key documents for cross-team meetings, including contracts, agendas, editorial calendars, and presentations.
  • Collaborate with communications marketing manager and partnerships team to organize, proof and ensure quality assurance of contracts for promotional items and giveaways.
  • Work with internal teams to ensure external messaging aligns with organizational priorities.

Administrative and Operational Support

  • Review marketing materials and deliverables from external vendors.
  • Maintain inventory of promotional items, incentives and assets for various programs and initiatives.
  • Process time entries, expenses, invoices, scopes of work, and check requests in accordance with guidelines.
  • Work closely with team leadership to produce weekly reports, coordinate projects and schedule meetings.
  • Ensure all agreements and project deliverables are fulfilled on schedule and in accordance with contract terms.
  • Support team culture and engagement, fostering collaboration and recognizing key milestones.
  • Schedule team training sessions and track professional development progress.

Scheduling Assistant and Admin tasks

  • Make travel arrangements and submit expense reports.
  • Coordinate and schedule staff meetings and provide administrative support.
  • Track contract deliverables and ensure proper documentation for vendors and consultant agreements.
  • Establish working relationships across the organization to streamline meeting coordination and communications.

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree in health-related field, communications or administration required
  2. 3+ years of relevant experience in communications/marketing coordination, partnership coordination or project coordination.
  3. Excellent interpersonal and communication skills to interact and build relationships with all levels of management and external stakeholders business partners.
  4. Strong written and verbal communication skills with the ability to craft clear messages.
  5. Demonstrated experience with Microsoft suite, Asana and marketing platforms
  6. Highly proficient at creating reports using PowerPoint presentations and written briefs; demonstrated proficiency with Salesforce a plus.
  7. Demonstrated analytical, critical thinking, and presentation skills a plus.
  8. Ability to manage multiple priorities and projects effectively
  9. Exceptional writing and communication skills
  10. High level of organization and attention to detail

This role is a non-exempt position and the hourly range for this position is $24.58 to $31.91. This is the lowest to highest rate we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
