General Summary of Position:

We are seeking a highly organized, proactive, and resourceful Senior Administrative Assistant to provide high-level administrative support to the Chief People Officer. This individual will play a critical role in ensuring the efficient operation of day-to-day activities, managing sensitive information with discretion, and anticipating needs in a fast-paced environment. This is a high-visibility role that requires exceptional judgment, attention to detail, and the ability to work independently while managing multiple priorities.

Key Responsibilities:



  • Manage complex calendars, including scheduling internal and external meetings across multiple time zones
  • Prepare briefing materials, meeting agendas, and follow-up documentation for internal and external engagements
  • Coordinate travel arrangements and manage expense reporting
  • Conduct quality research in support of specific initiatives
  • Track and follow up on action items, ensuring deadlines are met and priorities are aligned
  • Assist with drafting internal communications and confidential correspondence, including reports and presentations
  • Maintain organization of critical files and records, both electronic and physical
  • Support People & Culture department initiatives including event planning, reporting, and team logistics
  • Serve as a point of contact for cross-functional and external stakeholders on behalf of the Chief People Officer
  • Anticipate executive needs and take initiative to problem-solve before issues arise


Qualifications:



  • 3+ years of experience supporting a senior executive or C-level leader, preferably in HR, Legal, or Corporate Affairs
  • High degree of professionalism and discretion in handling confidential information
  • Strong verbal and written communication skills
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with Teams, SharePoint, and DocuSign preferred
  • Proven ability to multitask and prioritize in a fast-paced environment
  • Strong attention to detail, organization, and follow-through
  • Comfortable interfacing with senior leadership and external stakeholders
