Job Description:

The Chief Administrative Officer (CAO) is responsible for the efficient and effective administrative operations of all offices and oversees the efficient management of the firm's physical office spaces, systems, and facilities. The CAO develops strategic plans for the operational needs of the offices, anticipates and provides support systems to meet time-sensitive attorney and client expectations, focuses on the profitability and efficiency of the firm's local offices and provides leadership and direction for office services, reception, facilities, and secretarial services. The CAO will have responsibility for the department's budgeting, and expense management. The CAO works in collaboration with the firm's functional areas to ensure timely, efficient and seamless delivery of support services firm-wide and is integral to ensuring the firm's day-to-day operations run smoothly while maintaining a safe, functional, and cost-effective environment for staff, clients, and visitors. A hybrid work schedule is available for this position.

Reporting Relationships:

This position reports to the Chief Operating Officer.

This position directly supervises the Regional Administrators who oversee staff in the firm's local office operations, and the Director of Secretarial Services

This position works closely in collaboration with Functional Area Leaders.

Essential Job Responsibilities:
  • Create a culture of operational excellence and accountability in managing business processes and activities in support of internal and external clients.
  • Work with the COO and outside Real Estate Brokers on space, facilities, and equipment needs. Provide support for space planning projects; coordinate with stakeholders to promote client service objectives and ensure minimal disruption to client service operations.
  • Deliver firm-wide engagement strategies and programs that promote and maintain high levels of job satisfaction and morale by contributing to initiatives including encouraging participation, hosting social, community service and sustainability and other programs to foster a cohesive culture for attorneys and professional staff.
  • Work in collaboration with Functional Area Leaders to ensure people, processes and structure are aligned to deliver high quality support to internal and external clients in direct support of the firm strategies and goals.
  • Responsible for the hiring, development and supervision of administrative operations management team through effective goal setting, coaching, reviews, and development planning.
  • Manage and oversee the firm's office facilities, including office space planning, layout, move management, renovations, maintenance, safety, security, and cleanliness.
  • Lease management including projecting and analyzing facilities arrangements, synthesizing business elements of leases, tracking deadlines and options with leases and working directly with attorneys and landlords on negotiating leases and amendments.
  • Oversee the selection, management, and evaluation of vendors and service providers for facilities maintenance, office supplies, and equipment.
  • Negotiate contracts with external vendors, contractors, and service providers for facility-related services.
  • Drive global projects with the unique perspective and input from stakeholders.
  • Ensure all office functions and staff are aligned to meet firm-wide goals and provide seamless client service.
  • Develop and lead change management efforts across all phases of projects and initiatives to drive the Firm's culture of continuous improvement.
  • Maintain best-in-class service levels.
  • Develop staffing plans and budgets for all offices.
  • Ensure monthly operational expense performance meet budgets and contributes to cost-effective management.
  • Communicate effectively to ensure all staff are kept informed of significant office and firm-wide information.
  • Conduct meetings with various committees to communicate business goals and objectives.
  • Review, approve and support information security policies and procedures.
  • Actively participate as of member of the firm's ISO 27001 ISMS and risk management committees.
  • Perform other duties as assigned.

Education:

Bachelor's Degree required, MBA a plus

Experience:

10-12 years of management experience, preferably within a law firm or professional services environment.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows:

Rochester, NY: $166,850.00 to $266,950.00;

Providence, RI: $188,135.00 to $289,727;

NYC and Long Island, NY: $213,789.00 to $329,236.00;

Chicago, IL: $196,686.00 to $302,897;

Boston, MA and Washington, DC: $205,238.00 to $316,066.00;

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range is Nixon Peabody's good faith estimate of the annual salary it reasonably expects to pay for the position at the time of this posting.
