Overview
The Sorenson Center for Clinical Excellence is seeking a client care representative (Staff Assistant III) who will primarily serve the Behavior Support Services and Clinical Rehabilitation Counseling service lines within the Behavioral Health Clinic. This individual will support licensed behavior analysts, mental health clinicians, and clinicians at various levels of training. The individual will serve as a liaison between clients and the care team, assist with continued care, and aid with interdisciplinary care and clinical triage to community resources, as appropriate. The individual will provide some training on clinic procedures and operations to new clinicians. This can be a fast-paced job that requires multitasking. This position reports to the Center Operations Manager. Job offer is contingent upon the successful completion of a background check.

Responsibilities
Client Care
  • Communicate with diverse client population about healthcare services, appointments, insurance, clinic paperwork, and payments needed
  • Function as liaison between providers and clients to quickly address client concerns
  • Communicate with external medical facilities and providers
  • Submit and process referrals and prior authorizations alongside the Sorenson Center billing team
  • Screen clients for program eligibility and coordinate interdisciplinary care and referrals
  • Assist with client needs across other Sorenson Center service lines

Clinical Operations
  • Schedule client visits and maintain providers' schedules
  • Provide training on clinic operations / procedures to new clinicians
  • Collect payments and reconcile receipts daily
  • Answer clinic phone calls, emails, and secure messages and resolve or triage as necessary
  • Perform filing, scanning, and organization of clinic supplies and materials
  • Compose various standard documents, correspondence, and reports
  • Assist students, staff, and supervisors with highly varied, complex, and non-recurring questions and/or problems
  • Perform miscellaneous job-related duties as assigned


Qualifications
Minimum Qualifications:
  • Four years of relevant experience; or an associate degree/technical training plus two years of relevant experience or a bachelor's degree is required
  • Experience in a customer service setting

Preferred Qualifications:
  • Experience in customer relations in an outpatient medical or behavioral health setting
  • Experience working in a facility that provided applied behavior analysis services
  • Experience with data collection programs (e.g., Qualtrics, REDCap)
  • Experience with electronic medical records systems

Knowledge, Skills, and Abilities:
  • Ability to foster effective working relationships within a team environment
  • Skilled with computer programs, including electronic medical record systems
  • Excellent critical thinking skills
  • Skilled in creative problem solving and proactive in engaging in assigned tasks
  • Skilled with basic office equipment, including printers, copiers, and telephone systems
  • Good organizational skills and ability to prioritize tasks flexibly, consistent with the needs of the clinic
  • Excellent verbal and written communication skills
  • Ability to handle sensitive and confidential medical data and personal information
  • Ability to work without supervision
  • Knowledge of University policies and procedures
  • Excellent customer service skills
