Overview
The Office of Global Engagement is seeking a Study Abroad Advisor (Program Coordinator I) to administer and promote study abroad opportunities at Utah State University (USU). The advisor works closely with students at all phases of the study abroad process, including outreach, advising, application review and orientation. This position also works collaboratively with faculty leaders to develop faculty-led study abroad programs.

The Office of Global Engagement includes Study Abroad (USU faculty-led, exchange, and direct programs), International Student and Scholar Services, International Undergraduate Admissions, and International Programs (cooperation agreements with international institutions and hosting international visiting scholars and delegations). The Office of Global Engagement currently has 13 benefitted employees, several part-time non-benefitted wage hourly employees, and sponsors the Global Engagement Ambassador Program. The Study Abroad team currently consists of the director, two advisors, and a student peer advisor. The Study Abroad Advisor reports to the Director of Study Abroad in the Office of Global Engagement. This position may also train and/or supervise student employees.

Review of applications will begin in May 2025, and the posting will remain open until the position is filled. Anticipated start date is July 1, 2025.

This position is eligible for hybrid work within the state of Utah.

Responsibilities
Study Abroad Advising (40%):

Advise students on study abroad programs according to their academic, financial, professional and personal interests.
Provide students with program information including academics, housing, country entry regulations, information on culture, health and safety, etc.
Interface with and connect students to university resources, departments, faculty, and academic advising to prepare students for study abroad.
Communicate with and assist students throughout the application and pre-departure process.
Review student applications, check disciplinary backgrounds, make acceptance decisions working with relevant parties according to criteria, and enroll students into programs.
Promote scholarship opportunities for students, including hosting workshops, reviewing applications, and supplying feedback to students.
Prepare students to depart and welcome them back to campus through orientations, socials, etc. Coordinate pre-departure orientation (PDO) and corresponding Canvas class.
Manage general study abroad email and respond to inquiries. Liaise with student employees on general advising questions.

Faculty-Led Program Development (40%):

Work collaboratively with USU faculty leaders to develop study abroad programs.
Review proposals and syllabi for programs according to set criteria, such as destination security, responsible parties, past student concerns, expected student workload, course inclusion in the USU course catalog, etc.
Review and develop budgets for programs in conjunction with faculty, departmental Business Services and the Global Engagement Business Manager. Review provider contracts as necessary.
Approve programs through appropriate campus channels.
Assist in marketing programs to students through emails, social media, flyers and website. Develop content as appropriate.
Communicate with faculty throughout the life of a program. Monitor student applications, faculty reviews, and payments to confirm programs, review and extend deadlines and re-budget if necessary, liaise with faculty and Business Services on program invoices and due dates. Advise faculty on Global Engagement program guidelines, answer questions, and monitor completion of proposal items before departure and after return.
Compile information to build faculty-led study abroad program courses.
Review and share returnee feedback after programs.

Outreach and Event Planning (20%):

Plan Study Abroad fairs (2 to 3 per year), class visits, orientations, socials, and representation at university events such as Day on the Quad, New Student Orientation, career fairs, etc.
Promote the benefits of international education at the above events, preparing students to depart and welcoming them back to campus.
Liaise with Marketing Manager to develop a marketing plan, advertise events and student opportunities, and assist with email and social media campaigns.
Create program flyers, primarily for faculty-led programs as well as others as needed.
Interface with program provider representatives, national organization contacts, and USU employees.

Qualifications
Minimum Qualifications:
  • Bachelor's degree in a related field

Preferred Qualifications:
  • Master's degree in a related field
  • Educational and/or professional experience in international education, international studies, intercultural relations, student advising, counseling, political science, sociology, social work, or related fields
  • Experience working with college/university faculty members and/or with faculty-led program development
  • Experience planning events
  • Experience creating promotional materials
  • Experience with application and/or data management systems, especially Terra Dotta (formerly Studio Abroad)
  • Experience studying, living, and/or working abroad
  • Oral and written proficiency in a language other than English
  • Familiarity with USU systems, policies, and procedures

Knowledge, Skills and Abilities:
  • Excellent verbal and written communication skills in English
  • Strong interpersonal and customer service skills (both in-person and virtual)
  • Excellent organizational skills, including the ability to effectively prioritize workload and manage multiple tasks in a fast-paced environment
  • Excellent computer skills, including proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
  • Demonstrated ability to work collaboratively and positively as a team member, as well as build and maintain strong working relationships with colleagues and partners
  • Demonstrated ability to work independently with limited supervision and superior attention to detail
  • Ability to maintain a high degree of confidentiality, sensitivity and discretion
