The Proposal Coordinator supports the planning, development, and production of high-quality, compelling proposals for general contracting, construction management, and design-build opportunities-particularly in the areas of long-term housing recovery and public housing initiatives. This role works closely with the proposal director, proposal managers, business development teams, technical staff, and external partners to prepare compliant and persuasive responses to RFPs, RFQs, and other solicitations. Essential Duties and Responsibilities:
- Coordinates schedules, assignments, and deadlines for proposal development efforts.
- Participate in proposal kickoff meetings, strategy sessions, and color team reviews.
- Assist in organizing proposal content and assembling compliance matrices, outlines, and templates.
- Conduct research on clients, competitors, and industry trends to strengthen proposal positioning.
- Work with proposal and technical teams to develop narrative responses, resumes, project descriptions, and other deliverables.
- Draft, edit, and tailor written proposal content to align with client needs, project requirements, and solicitation guidelines.
- Interpret RFP/RFQ requirements to ensure compliance and clear messaging across all written sections.
- Coordinate with graphic designers and other team members to ensure consistent messaging and formatting.
- Support interview and presentation material development, including written content and speaker notes.
- Format and proofread proposal content for consistency, clarity, and brand alignment.
- Support post-submission efforts, such as debriefs and lessons learned analyses.
- Maintain and update a content library of frequently used responses, project write-ups, and team member bios.
Required Qualifications:
- Bachelor's degree in communications, English, Journalism, Marketing, or a related field.
- 3-5 years of experience managing/writing proposals
- Strong writing, editing, and proofreading skills with attention to clarity, tone, and compliance.
- Ability to synthesize technical content into compelling, reader-friendly copy.
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Comfort working in a deadline-driven environment and managing multiple assignments.
- Strong interpersonal skills and ability to collaborate across diverse, virtual teams.
- Adaptability in fast-paced environments.
- Ability to receive and apply feedback quickly.
Preferred Certifications/Qualifications:
- PMP, APMP, Shipley, or DBIA Associate Certification
- Experience in Architecture/Engineering/Construction, Disaster Recover, and/or Public Sector
- Experience with proposals involving CDBG-DR, FEMA, or other government housing programs is preferred.
- Familiarity with Canva or Adobe InDesign
- Office 365 experience
- Experience with CRM or proposal automation tools
