Job Summary
The job of the Assistant Buyer is to support the Buyer or customer in the procurement process through multi-channels including telephone, fax, email and EDI. This includes proper review of the purchase order before placement; updating the purchase order based upon vendor confirmations; resolving discrepancies with the purchase order; communication with the customer on order status; and maintaining appropriate purchasing records. This position has the goal to provide high quality, efficient and cost effective service to the organization.
Essential Functions
  • Receives purchase requisitions from internal customers and reviews for proper vendor, authorization, accuracy and completeness. Receive purchase orders assigned by the buyer.
  • Send purchase order to the vendor via EDI, fax, email or phone. Work with key individuals to expedite orders or other problem solving regrading the purchasing process.
  • Identify purchase order exceptions such as pricing, availability, back orders and other items details receive through various methods and communicate them to the appropriate party.
  • Resolves discrepancies between purchase orders, receipts and invoices and other related activities.
  • Maintain purchase order documentation in the ERP system as well as any required paper documentation per system or department policy. May be responsible to add/change/delete information in the system while ensuring the integrity of the data.
  • Communicate, collaborate and acts as a liaison between other departments and vendors in order to ensure continuity and coordination of services.
  • Engage in continuous study of the entire professional field, including best practices, to maintain the professional competence, knowledge and skills necessary for the satisfactory performance of all assigned responsibilities. Complete required continuous training and education, including department specific requirements.
Qualifications
  • Required High School Diploma or equivalent
  • 2 years of relevant experience of office experience, preferable in related purchasing field or similar purchasing atmosphere Preferred
  • 6 months of relevant experience Lawson Item Master or similar system Preferred
