Overview

The Warehouse and Shipping Manager is responsible for overseeing inventory and warehouse operations to ensure seamless supply chain processes that support business objectives. This role provides strategic direction while managing daily materials management activities, including inventory control and material flow efficiency. In conjunction with the Associate Director, Materials Manager, the Warehouse and Shipping Manager will drive operational improvements, and maintain accurate records for all materials and equipment, verify inventory levels and perform reconciliations as necessary.



Responsibilities

- Manage Quality System Compliance requirements, such as documenting items shipped by recording identifying information of items such as quantity and condition of items, and transportation method

- Coordinates and ships materials to trade shows and to clinical research sites

- Oversee's deliveries and shipments, including the assembling, packing, protecting, labeling containers and determining method of shipment for postal or commercial conveyance

- Warehouse management, including the unloading of incoming materials verification of information on packing slip with purchase order to verify accuracy of shipment; may process return shipments from customers

- Inventory Management; order consumable's, re-stocks items as necessary; maintain organized Warehouse

- Maintains shipping and receiving materials by checking stock to determine inventory level; anticipating needed materials; placing and expediting orders for materials; verifying receipt of materials

- Maintains Operations procurement records such as items or services with inspection or quality control personnel, users, vendors, and others to determine source of trouble and take corrective action for all departments

- Manages and develops all team member(s) on proper internal process and industry specific compliance.

- Coordinates approval of invoices for payment

- Follows established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards

- Maintains inventory records, verify inventory levels/controls and reconciliations

- Other responsibilities, as necessary



Qualifications

Essential Duties/Responsibilities:

    Oversees deliveries and shipments, including the assembling, packaging, protecting, labeling containers and determining method of shipment
  • Warehouse management, including the unloading of incoming materials verification of information on packing slip with purchase order to verify accuracy of shipment; may process return shipments to customers
  • Optimize warehouse layout and processes to maximize efficiency and safety
  • Identify and implement process improvements to scale operations and reduce costs
  • Implement tracking systems and reporting tools to monitor shipping performance
  • Inventory Management; order consumables, re-stock items as necessary; maintain organized warehouse
  • Coordinates and ships materials to trade shows and to clinical research sites
  • Coordinates approval of invoices for payment
  • Maintains shipping and receiving materials by checking stock to determine inventory level; anticipating needed materials; placing and expediting orders for materials; verifying receipt of materials
  • Follows established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and/or infection control standards
  • Ensure regulatory compliance with FDA, ISO, and other relevant standards by managing Quality System requirements, such as documenting items shipped by recording identifying information of items
  • Maintains Operations procurement records such as items or services with inspection or quality control personnel, users, vendors, and others
  • Lead and mentor a team of warehouse, logistics, and inventory professionals
  • Collaborate cross-functionally with supply chain, customer services, and quality teams
  • Other responsibilities, as necessary

Knowledge, Skill, and Abilities:

  • Experience in the medical device industry highly preferred
  • Strong knowledge of FDA regulations, ISO standards, and GMP practices
  • Proven track record in warehouse optimization, logistics planning, and inventory control
  • Outstanding organizational and interpersonal skills
  • Excellent oral/written communication skills
  • Ability to multi-task, work independently and work in a team environment
  • Professional attitude and demeanor
  • ERP Purchasing and inventory accounting experience

Education and Experience:

  • High School Graduate
  • 5+ years experience in Electro-Mechanical Procurement and Inventory control
  • Excellent Computer skills, specifically Microsoft Word, Outlook, Excel and MRP systems with at least 5 years hands-on experience
  • A thorough understanding of the purchasing inventory management and shipping purchasing processes
  • Self-starting; good work organization skills

Physical Requirements:

  • Standing/Sitting - 100%
  • Walking/Bending/Stooping - 100%
  • Lifting Requirements - Ability to lift general office equipment up to 20 pounds.
  • Travel by air, rail, auto - None required.
