Position Summary
The Director of College Events and Special Programs is responsible for the strategic planning, production, and management of events that support the mission and goals of Grady College. This position oversees all logistical aspects of event execution, ensures consistent branding and high standards of quality, and works collaboratively across departments, vendors, and university systems. The Director of College Events and Special Programs also supports donor and alumni engagement, student-centered programming, and college-wide celebrations, while developing sponsorship opportunities and marketing strategies to enhance the impact and visibility of events.
Knowledge, Skills, Abilities and/or Competencies

  • Multi-tasker, sometimes juggling several events at one time.
  • Able to communicate effectively with alumni, faculty, staff and students.
  • Be detail oriented.
  • Experience and knowledgeable with budget management in regards to student funds and event projections.
  • Proficient in Creative-Suite.
  • Ability to maintain a flexible work schedule to include nights and weekends.
  • Skilled in designing event decor within limited funds essential.
  • Creative aptitude and knowledge of current trends a must.

  • Sitting at computer, walking, carrying and lifting up to 30 pounds.
  • Pushing heavy carts with drinks and food to various places within the building.
  • Set up and break down of tables and seating arrangements.

Event Planning, Production & Management (40%)

  • Conceptualizes, plans, and executes high-quality events aligned with the college's strategic goals and image.
  • Develops and directs event timelines, schedules, priorities, and budgets.
  • Writes scripts and designs event programs.
  • Attends and manages events on-site, including some evenings and weekends, and travels as needed.
  • Negotiates and manages vendor contracts and monitors service delivery.
  • Maintains a network of event-related contacts for logistics and coordination.
  • Manages event data and logistics through the GAIL system.
  • Oversees conference logistics and college-wide celebrations.
  • Assists in promotional material development and publicity for events in coordination with the Communications Director.

Sponsorship & Fundraising Event Support (20%)

  • Develops and manages a comprehensive sponsorship strategy for signature events including Homecoming and Convocation.
  • Assists the Development Office in preparing event sponsorship proposals and handling Foundation documentation for event approvals.

Alumni, Donor, and Student Event Support (20%)

  • Plans and coordinates Grady Salutes and other alumni/donor events including space reservation, catering, parking, and GAIL event management.
  • Provides planning support for student-centered events including vendor management and promotional consultation.

Internal College Event Coordination (25%)

  • Plans and executes college-wide celebrations including annual faculty/staff holiday and end-of-year events.
  • Coordinates twice-yearly convocation ceremonies.
  • Provides support for Dean's Office-initiated and externally-sponsored events, including vendor and logistical management.
  • Manages event materials production such as nametags, programs, and signage.
