Job Description:

The HR and Legal Specialist/ Fleet Administrator will report to the Vice President of Human Resource Programs with dotted line reporting to the Associate Legal Counsel. As part of both the Associates Services team in HR and the Legal team at Zep, this roll will be exposed to and gain experience in both HR operations and HR law along with being responsible for the overall management of the fleet program. The corporate office is in a Grade A office space in the Galleria complex and is in easy walking distance of the Battery.

Responsibilities:

  • Review, track, and document compliance with mandatory and non-mandatory company training. This may include safety training, anti-harassment training and other compliance training courses.
  • Point of contact between managers and claim adjusters regarding worker's compensation and product liability claims. This includes providing employee records and documentation to claims adjusters for worker's compensation claims.
  • Manage all HR and payroll legal records requests to ensure timely and accurate response.
  • Assist Vice President of HR Programs and Associate General Counsel with projects and tasks as needed.
  • Coordinate with HR field professionals to manage all unemployment claims and leaves of absence with third-party vendors to ensure seamless communication with continual updates and quality control
  • Welcome new hires at the corporate headquarters and assist with new hire intake and onboarding as needed.
  • Security badge and parking pass management.
  • Represent the corporate facility on the Safety Committee to ensure all safety regulations are communicated and followed.
  • Point of contact for all field safety issues, including accident management for incidents outside a Zep facility. This includes coordinating management between Worker's Compensation, fleet repairs, leaves of absence, insurance claims, and the EH&S Director.
  • Serves as Fleet Administrator with the primary responsibilities to include:
    • Manage vehicle assignments, monitor compliance with the fleet policy, and ensure timely processing of new driver enrollments and terminations.
    • Coordinate vehicle registration, maintenance schedules, toll account oversight, and fuel card distribution.
    • Collaborate with drivers, HRBPs and Safety teams on incident reporting, insurance claims, and regulatory compliance.
    • Maintain and update all fleet records, ensuring accurate data for mileage reimbursement, lease renewals, and vehicle inventory.
    • Draft and distribute internal communications related to driver compliance, program changes, and safety initiatives.
    • Support auditing and policy updates to align with business needs and evolving legal or environmental regulations.
    • Partner with external vendors including fleet leasing partners, insurance providers, and telematics platforms to support program efficiency.
    • Monitor policy and training compliance.
  • Provides support to HR as needed and for ad hoc projects.

Qualifications:

  • At least 3-5 years experience with Human Resources programs.
  • High School diploma or equivalent is required. Associate degree or greater is preferred.
  • Experience and knowledge about worker's compensation, leaves of absences and general human resource laws.
  • Proactive self-starter, excited to take on new challenges and contribute to innovative solutions.
  • Exceptional teamwork, adaptability, critical thinking, and multi-tasking skills.
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to maintain confidentiality and use discretion when dealing with sensitive personnel issues.
  • Proficient with Microsoft 365, Excel, Word and PowerPoint
