At First Mid, base salary is one component of our Total Rewards program. Exact compensation is determined by factors such as (but not limited to) education, skills, internal equity, and experience. This position offers additional compensation in the form of discretionary short-term incentives (i.e. bonus, incentives, and/or commission). Responsible for general office administration and internal tracking of accounting/bookkeeping for all insurance lines including personal, commercial, life, group and individual health and senior products lines. Manages other administrative staff. Responsible for working with finance department to ensure processing of monthly financials, including but not limited to monthly financial reports, carrier commission reports, producer commission reports for payroll, and processing accounts payable/receivable. Works directly with FMIG CEO to assist with preparing and presenting reports for budgeting, forecasting and monitoring sales and revenue production. Directs other general office duties including all general office management duties.
Responsibilities include, but are not limited to:
- Processes monthly AR and AP as needed and works directly with finance department of the parent company to ensure revenue and expenses are processed and accurately reconciled on a monthly basis.
- Under supervision of CEO, manages all aspects of FMIG purchasing and operating expense allocation including supplies, travel and meetings expenses and other staff purchases; approves such expenses by all staff per CEO.
- Maintains high degree of technical competence and industry/market expertise; works directly with markets, accounting department, senior management and producers as needed to ensure accuracy of statements, billing and revenue.
- Monitors monthly commission payables process and ensures accuracy.
- Acts as a primary administrator for agency CRM functions and coordinates training as needed.
- Coordinates all staff training, onboarding and interfacing with Human Resources department with sensitive and confidential personnel matters from time-to-time.
- Monitors accounts receivable/payable balances on assigned accounts.
- Prepares financial reports for CEO as assigned.
- May provide clerical support to other departments or senior staff as directed by CEO.
- Performs in-house bookkeeping functions, including vendor invoices, bank deposits, and other statement processing as directed.
- Maintains lists of producer licensing and assists producers and agents in continuing education matters and licensing administration.
- Handles all contracting and licensing tracking and safekeeping for FMIG, all lines.
- Manages all aspects of purchasing and vendor management; handles travel for FMIG.
- Organizes meetings; presentations; and interfaces with marketing department and acts as main point of contact in conjunction with CEO in all strategic marketing efforts for coordination of print, digital and social-media marketing efforts as required.
- Assists CEO in annual budgeting and forecasting processes as required.
- Performs related duties and assists CEO with other administrative functions as needed.
- Completes annual training associated with job function.
Qualifications
Education:
- Bachelor's degree in a business-related field and two years' experience in insurance preferred or a minimum of 5 years' experience in commercial insurance or business or healthcare field
Experience:
- All applicable Insurance Producers' licenses as necessary.
- Valid Driver's license required.
- Prior work with Excel, Word and related software is required.
Skills:
- Thorough knowledge of insurance products and coverages.
- Must be able to prioritize and manage multiple tasks with accuracy and thoroughness.
- High level of organizational and communication skills.
- Ability to work respectively with diverse populations both internally and externally.
- Ability to empathize with customers and to respond appropriately.
- Proficient in Microsoft Office products with an emphasis in Excel.
- May be required to work earlier or later than the normal workday.
- Must maintain a valid Illinois driver's license.
